Description
The role will be responsible for managing the activities of the Billing Team on a daily basis. The Billing Manager is expected to demonstrate initiative, set priorities for the team, ensure timely and accurate completion of assignments, and oversee compliance by those in the team with firm policies and procedures. The Billing Manager is expected to maintain expertise in the tasks or services provided by the team and to work on, as well as delegate, tasks assigned to the team. Further, the Billing Manager is expected to serve as a positive role model and mentor, and to perform all responsibilities with a commitment to providing superior service to the firm's clients, Managing Directors, and staff, efficient and effective operations, and an atmosphere of teamwork and continuous improvement.
Key Responsibilities:
Staffing
Supervises Billing Team and the daily operations of the Department to ensure that all functions are performed effectively and efficiently; monitors team productivity; coordinates and approves requested PTO to assure full coverage at all times.
Addresses any potential issues that arise, working with Management and Human Resources as needed to address issues in a timely manner.
Participates in interviewing candidates for open positions.
Consults with Management on work load adjustments and assignments.
Cultivates seamless and highly-effective working relationships and lines of communication across the client billing organization; manage, mentor and develop staff; and foster a highly responsive, team-orientated, client service-focused approach with the utmost commitment to professional excellence.
Implement standards of excellence and customer service; and provide departmental staff with an understanding of future expectations and initiate changes needed to meet them.
Evaluate assigned staff and participate in their annual performance reviews. Provide constructive feedback on a regular basis. Identify possible training/development needs and opportunities for growth of team members.
Billing
Build relationships with functional leaders within the firm in the areas of Finance, Legal, Conflicts, AML, as well as other teams.
Supervises billing activities for assigned team to ensure timely and accurate preparation of bills.
Provides direction on reporting and unique billing situations, in consultation with Director of Billing.
Supervises preparation of reports as requested by management.
Implement firm billing and collections standards, policies and programs for those teams supported.
Work directly with firm professionals as needed on complex billing and collection matters.
Prepare for and attend monthly Billing meetings as needed.
Conduct new hire orientation for all new Billing team members as well as senior level professionals.
Collections
Coordinates collection activities for assigned team to ensure timely allocations.
Provides direction on difficult collection situations in consultation with the Finance team.
Supervises preparation of reports as requested by management.
Qualifications (Experience, Knowledge, Skills & Abilities):
Bachelor's Degree required, in accounting, finance or related field preferred
A number of years professional services billing experience required
Prior supervisory experience required
Expert skills in MS Office (i.e. MS Word, Excel, PowerPoint, Teams)
Excellent oral and written communication skills, including the ability to communicate potentially detailed and complex information to others
Aptitude and willingness to work with complex procedures
Strong organizational skills and attention to detail
Ability to manage multiple priorities and adjust to changing priorities in a professional manner
Ability to work independently and with a team
Willingness and ability to assume new tasks and responsibilities
