Administration
- Administration of health, dental, vision, COBRA, life insurance, 401(k), FSA and HSA plans, voluntary benefits and the commuter plan for all regions and departments.
- Maintains reporting in ACA system and analyzes eligibility of employees using the ACA tool.
- Manages distribution of employee benefit eligibility communications.
- Manages and maintains proper payroll deductions and adjustments from the Mercer 365+ enrollment system into UKG.
- Audits enrollments vs payroll deductions on an ongoing basis to ensure accuracy.
- Works closely with payroll team to ensure deductions and arrears payments are up to date.
- Manages employee communications related to benefit contributions for employees on leave and maintains schedules related to payments received.
- Works closely with accounting team to provide documentation for claims or payments made from Peet’s accounts as well as standard monthly reporting and reporting as requested.
- Works with Sr. Manager to verify monthly invoices and billing processes for all benefits programs and maintains statistical data relative to premiums, claims and costs.
- Partner with Sr Benefits Manager on open enrollment process including implementing new plans, updating current programs and assist in developing communication materials.
- Effectively communicate Peet’s benefit programs regarding plan options, policy features, enrollment and other requirements.
- Provide ongoing support to develop and champion the wellness program and other onsite benefits and wellness events.
- Assist with new plan proposals, manage vendor implementations and other special projects as needed.
- Develops and maintains Standard Operating Processes and benefits manual.
- Supports the benefits team and takes on other responsibilities as assigned by Sr. Manager of Benefits and Wellness.
- Responds timely and accurately to employee inquiries.
- Researches and assists employees with benefit program issues and works closely with broker and vendor teams for solutions and follow up.
- Ensure accurate data is provided and employee/employer contributions for the 401(k) plan, HSA, FSA, and the Commuter programs are submitted to the vendors.
- Ensure benefits plans are administered according to plan provisions; responsible for compliance with all Company and regulatory guidelines including 5500’s, Summary Annual Reports and 1095/1094 forms.
- Must have knowledge of and experience with the SF HCSO and partner with the broker to provide quarterly/annual data and submit reporting or funding for city or state benefit programs.
- Prepares reports and maintains accurate data in Health efx/Equifax Workforce Solutions, the ACA tracking system.
- Ensures data is accurate in the online benefit enrollment system and works with Mercer to provide updates or adjustments.
- Manages UKG and the Mercer enrollment system process for all benefit plans which includes maintaining automated files, troubleshooting errors and problem resolution.
SKILLS & EXPERIENCE:
- Minimum of 5 years of relevant benefits experience and/or training.
- Bachelor’s Degree (B.S.) in Human Resources or a related field preferred.
- Ability to manage multiple priorities and work independently.
- Ability to work with multiple benefit systems.
- Ability to define problems, collect data, establish facts, and draw valid conclusions.
- Skilled Microsoft Office user including advanced excel knowledge.
- Organizational skills to maintain documentation and shared files.
- Ability to communicate with kindness, thoroughness and attention to detail.
- Workday experience a plus.
- Must live in California (San Francisco Bay Area) or actively relocating.
Peet’s Home Office is a Hybrid worksite, which requires any Home Office employees to work onsite (Emeryville, CA) 3 days per week.
