Description

We are searching for an experienced, service-oriented professional to join our team as our Benefits Coordinator. This position is responsible for contributing to the day-to-day duties that are essential to the efficient operations of the Department of Human Resources. They will assist with and coordinate a wide range of employee benefit programs, inquiries, verifications, and compliance requirements. Comprehensive knowledge of benefits concepts, practices, procedures, plans, laws, and trends required as well as strong organizational, communication, and technical skills (including MS Office applications and web-based systems) with the ability to multi-task and complete tasks within tight time constraints are required. This position must maintain a high degree of confidentiality and accountability and will have routine interaction with third-party administrators and service providers.


Essential Duties

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties to provide direct or indirect service to the citizens may be assigned.


  • Responds to calls and emails from employees and retirees regarding benefits and related policies and procedures;
  • Assists the Human Resources Benefits Administrator with the administration of various City benefit programs;
  • Serves as a resource and is responsible for the Family Medical Leave Act (FMLA) process, tracking, and compliance requirements;
  • Serves as back-up for benefits orientation and assists with benefits enrollment process and inquiries;
  • Acquires and maintains benefits documentation (qualifying events, new hire documentation, etc.) and ensures accurate data entry in HRIS system(s);
  • Assists with retiree insurance enrollment, changes, and notices; ensures completion and follow-up as needed;
  • Assists with review and update of benefits information on internal and external websites and other related documents;
  • Assists with workers' compensation payroll calculations and coding; follows-up with departments on required documentation;
  • Assists with obtaining statistical data and information regarding employee benefits as well as running and completing necessary reporting;
  • Prepares and organizes meetings designed to help employees obtain information, and understand benefits and other related incentive programs;
  • Ensures timely distribution of required employee notices;
  • Assists with developing benefits trainings in the NEOGOV system;
  • Performs other related duties as required and assigned.

ADDITIONAL JOB FUNCTIONS
  • Other duties to provide direct or indirect service to the citizens may be assigned.
  • When unusual situations occur and/or the City Manager declares a State of Emergency, all City employees may be required to accept special assignments and perform as needed to ensure appropriate service delivery.

SUPERVISORY
This position has no supervisory responsibilities

Minimum Education and Experience Required

EDUCATION AND/OR EXPERIENCE

Bachelor's degree (B. A.) from a four-year college or university; with major work in human resources, business management or related field, and directly related professional experience in benefits administration. A combination of education and experience may be considered in lieu of these specific requirements. SHRM-CP or SHRM-SCP, PHR or SPHR, IPMA-CP or IPMA-SCP professional designations preferred.

A successful candidate will have:


  • Comprehensive knowledge of benefits concepts, practices, procedures, plans, reporting, laws, and trends;
  • Knowledge of and experience managing the Family Medical Leave Act (FMLA) process, tracking, and compliance requirements;
  • Strong organizational, communication, and technical skills (including MS Office applications and web-based systems) with the ability to multi-task and complete tasks within tight time constraints;
  • Capability to handle a high volume of work and varying assignments with accuracy and attention to detail;
  • Ability to establish and maintain effective working relationships;
  • Ability to maintain a high degree of confidentiality and accountability;
  • Ability to work cooperatively in a diverse team and/or independently;
  • Ability to effectively present information in one-on-one and small or large group settings.

Additional Requirements

Relevant background checks must be completed satisfactorily.

Must successfully complete IS100 and IS700 National Incident Management (NIMS) training within 90 days of employment. May also be required to complete higher levels of NIMS training as determined appropriate for the position.
