Associate Asset Management Representative
The Associate Asset Manager supports the effective administration of trust and fiduciary accounts, including tracking management of assets, including the oversight of real estate portfolios and specialty assets. The Associate Asset Management Representative will provide detailed data entry services, maintain file documentation, track and follow up on outstanding action items related to management of client accounts.
Responsibilities
- Supporting Role: for Project Manager and Client Accounting Managers with regard to incoming statements, invoices, documents and inquiries
- Real Estate Administration: logging entries and management of client documentation for property managers, changes in assets, tax and utility liabilities, real estate portfolio review, frequency of appraisals, policies and procedures for real estate administration, insurance coverage review, accounts payable and receivable clean-up and overhaul of documentation
- Specialty Asset administration (Notes, LLC, IP, S-Corp, etc.): review of asset types, cataloging of documentation for corporate compliance, recordation of assets, assets and liabilities review, appropriateness of specialty assets in portfolio review, policies and procedures for other specialty asset administration, accounts payable and receivable clean up and overhaul of documentation
- Office Support: routing phone calls, processing mail
Under the direction of the Project Manager:
- Coordination of accounts receivable/payable.
- Administrative and investment ReviewsMonitoring and reporting of client investment reviews
Calendaring and implementation of internal client compliance reviews
Calendaring and implementation of external professional reviews with attorneys, CPAs and property managers
- Assist in the management and sale of property.
- Assist and manage the review of contracts
- Attend training as requested
- Draft Investment Policy Statements (IPS’s) for third party managers, to get IPS’s signed
- Ensure accounts with third party managers have adequate documentation i.e., reviewing the Investment Management Accounts (IMA), IPS, Portfolio Analysis
- Review the current IPS with the actual asset allocation, identify deviations
- Track assets.
- Trust Administration Support including document archiving managementAdd new Accounts
Update account closures
Manage and maintain storage boxes and number assignment. Contact for delivery and pick up
Maintain spreadsheet of files in storage
Qualifications
- Bachelor’s degree in accounting or business preferred; or equivalent work experience
- Proven experience with account reconciliation in Quick Books or similar program
- 1 year of experience. Experience preferably includes knowledge of California real estate administration and experience in Accounts Payable, Receivable / bill paying, preferably with wealth management or trust administration
- Strong communication skills, including the demonstrated ability to draft professional and effective letters and presentations.
- Strong computer skills and experience with software products such as Microsoft Office, Time Slips, Time Matters and Quick Books Online

Pay: $25.00 - $35.00 per hour
