Assistant Patient Administrator - Band 2
To join our friendly dynamic team in the Maternity Unit.
The days are Monday- Friday (8.30am-4.30pm or 9.00am-5.00pm) with occasional weekend shifts available
The post is with an exciting and busy department, you will be working closely with midwives/doctors and other admin staff.
The post holder will have excellent communication skills and demonstrate kindness and compassion. The post holder will work mainly on Antenatal reception but will have some back office work.
The post holder will contribute to the delivery of high quality, safe and compassionate healthcare to patients by supporting and welcoming patients into services in a way that meets their individual needs. The Assistant Patient Administrator will also provide administrative support to a team liaising between patients, doctors, practitioners and other healthcare professionals. The staff member will work consistently to provide high quality customer service and will be professional at all times. The post holder will be required to work in one of the following areas, providing cross cover where necessary:
- Wards
- Reception
- Checking in patients carefully checking their demographic details
- Making follow-up appointments for the patient
- Working on the request list -highlighting any clinic capacity issues to the manager
- Photocopying
- Answering telephone enquires
- Making up hand held notes for patients first midwifery appointment
- Cross covering to other areas within Maternity Department
- Dealing with visitors and directing them to patient rooms

Roles and responsibilities
- Provide a customer focused service dealing with all patients or visitors in an efficient, polite and courteous manner
- Provide administrative support to the clinical team in the team assigned and provide cover across the Trust’s administrative resource
- Interact with patients and relatives in distress in a sensitive and empathetic manner
- Deal with all patients’ queries where possible and directing them to the correct person or department within the hospital
- Check all patient details including demographics are entered correctly as patient is booking and make any changes on PAS/IT system accordingly
- Ensure all activity is entered in a timely manner using Trust’s PAS/appropriate IT system including DNAs and discharges.
- Undertake regular printing activities e.g. theatre lists according to the requirements of the service
- File all paperwork appropriately
- Provide cover across the POD as and when required
- Ensure any transport or interpreter requirements are organised.
- Ensure all procedures are followed re data capture for service specific outcomes.
- Provide an excellent standard of service to patients at all times
- Adhere to trust-wide standard operating procedures and policies developed for clinical administrative processes and participate in their development
