Assistant Medical Education Officer
Band 3 Part time – 3 days
We are looking for an enthusiastic, organised person to support the postgraduate team looking after the education of training doctors and consultants on the QEH site.
At least 6 month’s admin experience in the NHS and minute taking skills is required.

Job Summary
To assist with providing an efficient medical education service to medical staff within the Trust based at Queen Elizabeth Hospital
The Department
The department has a broad remit to deliver and manage the highest quality medical recruitment service and medical education and training needs as set out in statute for undergraduate medical students, doctors in training, non career grade doctors and consultants.
The changing nature of care provision requires us to be dynamic and pro-active in anticipating future staffing & educational needs for all medical staff.
The department comprises a medical staffing and a medical education team. The Medical Education and Medical Staffing department is part of the Workforce & Education Directorate but is situated separately in the Education Centre.
Key Result Areas
- Provide a friendly, welcoming and efficient customer service to all doctors, staff and managers coming into the department and to all enquiries on the telephone.
- Ensure telephone enquiries are answered promptly and courteously. Document messages for colleagues where necessary.
- Assisting with Medicine Grand Round weekly and ensuring a medical rep has been organised to cover lunch time meeting when required.
- Assisting with coordinating foundation teaching programmes and monitoring bleeps.
- Organise career taster weeks for Foundation doctors and ensure appropriate documentation is completed and filed.
- Assisting with elective and clinical observer placements.
- Process all medical study leave paperwork for both consultants and junior medical staff. Document all details on the database and send paperwork to payroll.
- Organise room bookings and catering for all postgraduate meetings including foundation/specialty faculty meeting
- Ensure all office stationery supplies are order via oracle system and housed in the correct locations.
- adhoc administrative/secretarial service to the Head of Medical Education.
- To take minutes at meetings, then summarise, type and circulate minutes.
- To assist with the organisation of adhoc Regional Training Days and Specialist Registrar study days.
- To assist with organisation of undergraduates examinations
- Provide administrative assistance for courses and examinations including PACES, paediatric and simulation events.
- To establish and maintain new and/or existing e-filing systems
- To assist the Medical Education Officer wherever necessary with any other duties relevant to the post.
