MISSION: The Assistant G&E Manager will assist in the management and coordination of the Groups and Events planning team, ensuring the delivery of an effective planning and coordination service for all contracted groups and events. The Groups and Events planning team also oversee the contracting and planning of short leads, as well as social events within the hotel. The Groups and Events planning team liaise with the meeting planner or customer directly, to ensure that quality and service standards exceed customer expectations at all times. Once contracted, the Groups and Events team are responsible for the liaison between the group and the hotel. G&E planning handle all enquiries with a lead time of 15 days or less, as well as internal and GSO / Sales events. Prepare professional proposals to agreed standards, responding to all enquiries sent to the hotel for social events and meetings with less than 10 guest rooms. Ensure the maximisation of revenue for food and beverage, meeting rooms, and other hotel services. Once the services are confirmed, prepare the service contract. Prepare the Banquet Event Orders with thorough detail to enhance communication with food and beverage department, distributing BEO / Function Sheet at least 7 days before the arrival of the group or the date of the event. Coordinate all of the operational details of the groups and events, communicating these details and the services required effectively to all of the departments involved to ensure the success of the event. Assist the Groups and Events Planning Manager in all aspects of the job. Ensure accurate billing, following up on deposits and payments in line with the dates set in the contract, updating the pro forma invoice and sending it to the customer whenever necessary.
