Role: Assistant Facilities Manager
Hours: 37.5 (full time)
Based: Rugby (hybrid working, with up to 60% of your week at home)
Salary: £30,000 - £33,000 (dependent on experience)

The Air Ambulance Service provides two very important functions, Helicopter Emergency Medical Services (HEMS) and The Children’s Air Ambulance which provides paediatric transfers across the UK. Our objective is to save lives, utilising specialist pilots, doctors, and paramedics and with our work centred on saving lives, improving clinical outcomes and being able to react quickly and efficiently to emergencies.

Reporting to the Facilities Manager we are recruiting an Assistant Facilities Manager to assist in overseeing all matters relating to facilities including our Head Office, Daventry warehouse, retail outlets and airbases.

This role has many different components to it, some key elements include.

  • Manage the Day to Day running of the Facilities inbox - logging reactive jobs, appointing contractors and updating stakeholders on progress, ensuring work is completed to a good standard in a timely fashion.
  • Deputise for the Facilities Manager and help manage the Facilities team, managing workload, deadlines, and shop visits.
  • Act as a lead on all planned, reactive repairs and maintenance to The Air Ambulance estate.
  • To maintain accurate records in accordance with the PPM schedule and make available as required.
  • Plan in PPM work when required and consult with contractors and shop on planned maintenance.
  • Monthly reports of reactive works and compliance to be produced at the beginning of each month.
  • Generate quotations as and when required.
  • Management of hard and soft FM contracts
  • Assist in ensuring an efficient service is delivered to internal clients.
  • Assist the Facilities Manager with the running of the vehicle fleet.
  • Support with new shop opening tasks.
  • Maintain contractor database/compliance.
  • Ensure all contractor works have a risk assessment and method statement.
  • Consult with the Health and Safety Adviser where more detailed risk assessments and method statements are required.
  • Responsible for hard and soft facilities and compliance/checks for head office
  • Act as Office Manager for head office
  • General administrative support for Property, Facilities, and Fleet
  • Raising POs

Experience / Skills

  • Previously worked in a Facilities function
  • IOSH
  • Excellent Microsoft skills
  • Excellent communication skills
  • Able to work as part of a team and on your own.
  • Project management experience would be desirable but not essential.

The role will be based in Rugby (2 days a week) with some home working.

This role requires a basic DBS check
