Assistant Community Manager - Build To Rent

Based Woking

Up to £40,000

Cobalt are proud to be partnering with a well-known, national BTR operator to find their next superstar. The role is based at their luxury development in Woking, with the successful applicant assisting with the management of the site and the staff based there. We are looking for a strong leader who will have demonstrable experience of organising, motivating and developing a team.

The Assistant Community Manager role carries responsibility for supporting the Community Team, in building and maintaining the reputation and brand of the building in the local community, driving revenue, managing costs and all whist achieving the highest possible approval rating for service and team engagement. You will lead from the front, by managing the day-to-day operations in resident satisfaction and leasing activities. You will have a proven appreciation of what it takes to deliver outstanding customer service and demonstrable experience in managing, delegating and organising a team. You will also be instrumental in handling enquiries, conducting leasing tours and leasing-related paperwork.

Responsibilities

  • Overseeing and organising the daily operations of the on-site team

  • Be the leader in delivering consistent excellent service that leads to resident renewals

  • Achieve occupancy, revenue, and resident retention goals by performing all activities related to leasing to new residents, providing resident satisfaction throughout the term of the lease, and securing resident lease renewals and referrals

  • Support the Community Manager in all aspects of the role including supervising leasing performance, occupancy, team members, reporting, problem-solving, resident satisfaction, strategising and delivering resident events

  • Coordinating and overseeing the planning and implementation of, various community recreational and social activities. Ensuring they are actively promoted and advertised to our residents

  • You will be responsible for the development, engagement and motivation of the team, and lead the team to success in achieving its goals

  • Your role will include all aspects of recruiting, on-boarding, training and inspiring a team of Community Hosts and Leasing Professionals. You will also be responsible for the day to day management of the team, including training, motivating and developing them

  • Stays informed about current market and competitor conditions that may impact the community's occupancy and sales results. Develop and implement short- and long-term marketing plans and goals to sustain occupancy, and follows the community's established policies related to concessions, specials, and other programs to boost occupancy and resident satisfaction

  • Support the Marketing Team with overall marketing/leasing efforts and offers input and suggestions in regards to promotions, advertisements, and pricing

  • Use the on-site community management software application to track apartment availability, record traffic and leasing activities, manage resident and future resident's data, and capture critical information about existing and future residents, including pricing

  • Inspect the marketing corridor and leasing tour. Communicating maintenance and upkeep needs to the maintenance team

  • Follow up with future guests and new residents to ensure satisfaction by sending e-mail, thank-you notes, and cards or making telephone calls or other contacts to finalise decisions to lease and/or renew

  • Execute activities in support of the community's lease renewal program by preparing lease renewal letters and packages for residents, meeting with and contacting renewing residents in advance of move-out dates, and ensuring that lease renewal documents are signed and implemented on time.

  • Follow established policies and procedures by monitoring and ensuring compliance with regulatory requirements, organisational standards, and operational processes related to area of responsibility and reporting violations or infractions to appropriate individual

Requirements

  • Have experience within BTR, property sector, hospitality, leisure industries or similar at a management level

  • Be a natural leader, motivating and coaching your team to succeed

  • Have a passion for customer service and ensuring excellence

  • Be proficient in executing sales skills, such as generating sales leads, conducting sales presentations, qualifying prospects, and closing

  • Have excellent written and spoken English

  • Be proficient in IT skills including MS Word, Excel & Outlook (training will be provided for our internal database system)

  • Have a collaborative working style and strong leadership qualities to ensure that people follow your lead

  • A bright, clear and calm communication style

  • An organised and methodical approach to tasks

  • Able to work under pressure and meet tight deadlines

  • Flexibility to work across a rota
