Job Summary:

We are looking for an individual to join our team who has strong skills in people and business management, to support the Practice Manager in all aspects of operation management of the practice in order to ensure the smooth running of the Practice. The Assistant Practice Manager will take responsibility for the general day to day running of the Practice ensuring the well-being of patients, doctors and staff.

In liaison with the Practice Manager, support in all aspects of practice functionality, motivating and managing staff, optimizing efficiency and overall performance, ensuring the practice achieves its long-term strategic objectives in a safe and effective working environment thus providing an excellent patient care.

Through innovative ways of working, support the Practice Manager leading the team in promoting Equality Diversity & Inclusion, Health & Safety, Quality & Continuous Improvement, Confidentiality, Collaborative Working, Service Delivery, Learning and Development and ensuring the practice complies with CQC regulations.

Main duties of the job:

As part of a well-established and supportive team, the Assistant Practice Manager will take responsibility, with support from the Practice Manager and ensure smooth running of practice processes and will assist in running the day-to-day processes. Duties will include but are not limited to:-

HR – Supervision and management of administration, dispensary and secretarial teams, including HR.

Complaints liaison

IT leadership

Day-to-day premises management

Day-to-day operational support of the work of the Practice

Maintain knowledge of changes to health and safety legislation and ensure these are implemented by the practice

Assist the Practice Manager with ensuring compliance with CQC regulations and standards

Liaise with the team in monitoring of the Quality of Outcomes Framework and PCN Investment and Impact Fund to ensure all targets are being met

Excellent communication with the Practice Manager and the Practice team on a daily basis.

A sound knowledge of small business management, finance and IT are a must, together with an excellent team leadership and communication skills.

Detailed Job Description:

Responsibilities:

Management of the day-to-day operations of the practice, ensuring staff achieve their primary responsibilities effectively and in a timely manner.

Day-to-day direct line management of all staff, providing support and motivation, developing their skills and confidence to fulfill their potential whilst continuously improving the service they provide to patients.

Maintaining an effective overview of HR legislation.

Assist with recruitment and selection of employed staff.

Assist with preparing staff contracts recommending and making changes as required.

Maintain, develop and run the practice new staff induction procedures including IT training and compliance.

Establishing, reviewing and regularly updating job descriptions and person specification, ensuring all staff are legally and gainfully employed.

Conducting Training Needs Analysis for all employed staff by ensuring all have the appropriate level of training.

Developing, implementing and undertaking an effective staff appraisal process.

Lead and participate in team and staff meetings, taking minutes and follow-up on any matters arising.

Co-ordinate and contribute to the agenda for Practice Learning Time (PLT) – afternoon closure.

Be fully conversant with practice procedures and developments and ensure that teams are kept fully updated.

Support and mentor the team with implementing changes to procedures and protocols to improve the patient experience and in-house systems.

Cover deputized responsibilities on behalf of the practice manager.

Surgery Management:

Co-ordinate rotas for providing extended hours and improved access, ensuring requirements of the specifications are fulfilled.

Assist with the co-ordination and implementation of various NHS programs and campaigns including, seasonal flu vaccination programs.

Circulate all information necessary to ensure the proper running of the practice for the benefit of doctors, staff and patients and assist in updating the practice website. Organise and administer filing / storage of such information.

Assist the Practice Manager in compiling and updating policies and procedures in all areas of the Practice.

Liaise with the team in monitoring of the Quality and Outcomes Framework and PCN Investment and Impact Fund to ensure all targets are being met.

Assist with the Practice in-house complaints system including documenting and reporting significant events or near misses. Ensuring complaints are dealt with in a timely manner.

Be actively involved in establishing and running a Patient Participation Group within the practice.

To maintain knowledge of the General Data Protection Regulation (GDPR) and Data Protection Act 2018 (DPA 2018) and assist with the implementation of all associated requirements, confidentiality systems and processes in the practice.

Assist the practice manager and registered manager with ensuring compliance with CQC regulations and standards.

Oversee all messaging to patients.

Oversee recording of MRHA safety alerts are maintained

Information & Management Technology

Assist with the management on any immediate day-to-day matters pertaining to the practice IT system

Assist with setting up new users and amending access for existing users on the practice computer network, EMIS, Docman and NHS smart cards.

Assist the management in generating and running the required reports to ensure the Practice is in the right path to achieve their monthly targets

Ensure to generate reports to submit monthly CQRS, QOF, PPE achievements

Assist Practice Manager in submitting the monthly / quarterly and annual reports (like PPE)

Oversee the repeat prescribing system

Supervise / co-ordinate and undertake computer searches and reports as required

Management and update of the practice website; liaise with website provider to resolve any issues

Finance

Assist management in submitting the monthly achievements in CQRS

Assist the Practice/Management by generating monthly payments received reports.

Assisting with payroll, pensions, and leave/absence records.

Assisting with processing payments or invoices and distribution of remittance

Regular banking of cash and cheques

Monitoring bank accounts / cash flow and report to Practice Manager

Assisting with submitting claims, records maintenance and tracking debtors

Petty cash management and reconciliation

Assisting accounts reconciliation

Monitoring supplies, equipment, and maintenance contracts, assist in sourcing best value options and renewal of contracts, services or equipment.

Graduate with excellent literacy and numeracy skills
