The Ministry of Defence (MoD) employs over 50,000 Civil Servants. Within that, the Army Top Level Budget (TLB) employs around 9,000 MoD Civil Servants located at over 300 locations.

The Army is a diverse and varied place to work. We are currently recruiting an administration HR Clerk where the successful candidate will provide administerial support to the administration team located at Redhall View, Edinburgh.

This is a Permanent Position as an Adminstration Assistant.

This position is advertised at 37 hours per week.


Job description

51 Squadron, 32 Signal Regiment is looking for a well organised and hardworking individual to join our dynamic and fast-paced small team of dedicated civilian and military Permanent Staff at Redhall View. The role will be expected to provide effective and efficient administrative support and work as integral part of office support.

The Administrative Officer is a member of a team where all are valued and encouraged to contribute to the wider execution and improvement of the Regiments’ outputs and processes.

The post holder will be responsible for administration tasks and recording actions on appropriate IT systems (full training will be given). To enable the smooth running of the office the post will provide specialist clerical support to the resource team often handling confidential material.

There will be a requirement to photocopy, label and distribute documentation, manage Military Personal Administration system (JPA), other filing systems and track documents.

The successful candidate should have strong communication and interpersonal skills and be able to liaise confidentially with external agencies, and will be expected to prioritise tasks as necessary, work independently and within the team.

Ideally candidates will have experience in a business environment and an ability to work proactively and as part of a team.

Candidates should demonstrate attention to detail an ability to handle their own workload and prioritise tasks.
A good working knowledge of Microsoft Office packages is essential.

  • To act as the Unit Administration Officer.
  • Process, produce and interrogate monthly management checks.
  • Update personnel records in accordance with JSP 766 (Defence Directive on Employer Support and Employer Notification) & regional Employer Notification direction.
  • Update personnel records.
  • Process documentation for new recruits, transfers, postings & voluntary discharges.

Person specification

Duties and responsibilities of the role include but are not limited to:
  • Complete applications for Identification, military forms and medals.
  • Process stationery requests & order publications to support exercises, courses and Annual Collective Training.
  • Monitor printers/faxes/photocopiers for toner and paper supplies and order and replenish as necessary.
  • Assist with administrative procedures within Medical/Welfare management. Including completing registration processes of new recruits.
  • Management of non-attender letters for personnel.
  • Action Move and Track processes for all personnel.
  • Manage and input pay and allowance entitlements.
  • To act as one of the Unit Equality, Diversity and Inclusion Advisors.
  • To be adaptable and assist with any other duties as directed by the Officer Commanding.
  • To work to and apply Safety Health Environment and Fire (SHEF) standards.
