We have an exciting opportunity within the Gynaecology and Gynae-oncology service at Sandwell & West Birmingham NHS Trust for the position of Apprentice Admin Assistant, undertaking the Business Administrator Level 3 programme.
During the apprenticeship programme, you will work towards achieving the competencies of the personal specification. Do not apply for this position if you hold the above award or equivalent qualification. Part of the programme will include developing your Functional Skills Math and English and you will need to provide your current certificates at interview. On successful completion of the apprenticeship programme, this role will be paid Agenda for Change Band 2.
The successful applicant will be required to provide day to day clerical and administrative cover across the various sites, including the new Midland Metropolitan University Hospital, which is set to open in 2024. The new hospital site will welcome acute patients from across the region. Candidates must demonstrate excellent customer service together with good organisational skills. You should also be reliable and punctual.
The successful post holder will work within a well-established team, located primarily at City hospital, however there may be the requirement to travel across site on occasion.
- To receive and upload patient case notes as required
- To retrieve, amend, input and interpret data in electronic and manual format.
- To type ad hoc correspondence as required.
- To photocopy, and collate departmental correspondence as and when required.
- To efficiently receive and handle telephone calls in a polite manner.
- To efficiently call patients to confirm their attendance for urgent clinic appointments. To assist the medical secretaries with contacting patients at short notice eg clinic cancellations.
- To answer telephone enquiries and relay accurate messages back to relevant staff members as appropriate
- To be fully conversant with all relevant electronic functionality
- To open, date stamp and distribute/scan departmental post.
- To view and update clinical systems as appropriate and within remit of role.
- To review patient pathways and support the medical secretaries with the validation process.
- To liaise with GP surgeries and external agencies.
Our new acute hospital, the Midland Metropolitan University Hospital (MMUH), opens in 2024 and will provide care to our local population from first class, purpose-built premises. As a result, the base of this role may change to MMUH from 2024 (or beyond). If this is applicable to your role, you will be informed during the recruitment process and continuing your application with this understanding. The development of the new hospital will play an important role in the regeneration of the wider area and in improving the lives of local people and reducing health inequalities.
