The Post


The Admissions Officer will work within the Admissions and Access team which is part of Student, Academic and Corporate Services. Admissions and Access provide a professional admission service, responsive to customers and stakeholders and are committed to excellent service delivery by:

  • providing an exceptional applicant experience to a high number of applicants each year for different modes of study including access, undergraduate, postgraduate taught and research, study abroad, international exchange, CPD and flexible learning
  • meeting key performance indicators, particularly application and offer-making response times
  • engaging and working in partnership with professional services and the academic community
  • being responsive to the global market place and regulatory requirements

The post-holder will be required to work to the highest professional standards and to contribute to the delivery of the Strategic Plan. The Admissions environment changes rapidly and any successful candidate will be required to have an open and positive attitude to change. The post-holder will report to the Admissions Manager.


Description of Duties


Customer Service

  • Provide an exceptional applicant experience from the first point of enquiry to enrolment
  • Be a positive and proactive member of a customer-focused team with a willingness to undertake additional duties during busy periods
  • Explain complex processes to those who are not familiar with them with and for whom English may not be their first language, with a good level of cultural awareness

Admissions Processing

  • Assist the Admissions Manager and Head of Admissions in delivering all aspects of the admissions process
  • Responsible for reviewing applications, making decisions, issuing offers, dealing with applicant replies and processing confirmation decisions as well as issuing relevant scholarships
  • Assess applicant information and accompanying documentation against set criteria and using a range of resources to aid decision-making, including ECCTIS (NARIC), UCAS, UKCISA and UKVI
  • Using the University’s record system (SITS), record decisions and other data with a high level of accuracy which is required for statutory reporting
  • Work with a high level efficiency, meeting agreed turnaround times and performance targets
  • Deal with sensitive, private and confidential information in a professional manner adhering to relevant legislation including Data Protection
  • Prepare and issue files for a Confirmation of Acceptance on the UKVI Sponsorship Management System with a high degree of accuracy allowing international students to apply for a student visa

General

  • Respond to enquiries from prospects, applicants, parents, teachers and advisors, providing informed guidance and advice, viamultiple communication channels including daily live chat
  • Undertake business process review as required, both independently and as part of a team
  • Participate in marketing and student recruitment events, e.g. Open Days and Applicant Visit Days which will require some weekend and evening working
  • Work in partnership with other professional service teams, faculties, international agents and university partners, including QS and INTO
  • Any other duties required

Essential Criteria
  • Demonstrable experience of providing a highly responsive and professional customer service
  • Demonstrable evidence of performance delivery against targets
  • Educated to Scottish Higher/ Higher National level
  • Knowledge of a student record system, preferably SITS
  • Understanding of current issues in Higher Education
  • Excellent organisational skills
  • Excellent communications skills, both written and verbal
  • Ability to work under pressure, meet deadlines and continually re-evaluate priorities
  • Ability to work independently and as part of a team
  • Ability to work occasional weekends and unsociable hours


Desirable Criteria

  • Proactive in making improvements to existing processes with a positive approach to change
  • Knowledge and understanding of school and post school qualifications from across the UK, EU and globally
  • Knowledge of UKVI regulations and Tier 4 student visas
  • Knowledge of the academic portfolio offered at the University
  • Knowledge of tuition fee assessment
  • Previous experience of admissions requirements for international applicants
  • Experience of using a variety of digital communication channels
