Job description
Crosfields is looking for a warm, highly professional and efficient individual to oversee all aspects of admissions at the School. The successful candidate will work collaboratively with a range of staff, pupils, parents and prospective parents, line managing the Admissions Officer. The role will involve providing an excellent customer experience to all prospective families including managing initial enquiries, hosting private tours for prospective families, facilitating assessments and admitting pupils to the School.
This position is full-time all year round, with 30 days annual leave. Salary to £40,000 depending on experience.
Key Responsibilities
Admissions
- Provide an approachable, welcoming, informative and seamless customer service to all prospective families, acting as an ambassador for the School
- Work closely with the Admissions Office and Head to develop the School’s admissions strategy
- Develop a detailed schedule of admissions dates for the forthcoming school year, liaising with key staff where required
- Assist the Head and Marketing Manager in engaging feeder schools/nurseries so that they are informed about the quality of our educational offering and admissions process
- As the first point of contact for all enquiries, promptly answer phone calls or digital leads, ensuring that they are logged onto the School’s admissions system, iSams
- Prepare all paperwork including offer letters, notice acceptance letters and new starter information
- Monitor admissions data with a view to reaching the preferred number of pupils in the School
- Organise assessment and taster days, interviews and scholarship assessments, liaising with staff as required
- Organise and host tours, encouraging prospective families to register for a place at Crosfields
- Liaise with the Bursar regarding bursary applications and paperwork
- Updating, commissioning and monitoring stock of admissions materials, working with the Head, marketing team and marketing agency as required
Open Events and Marketing
- Liaise with the marketing team, relevant Senior Leadership Team members and other key staff to organise open events, stay and play sessions, feeder taster events and transition days
- Support with tour guide training and route planning for open events
- Attend all admissions related events, both internal and external where required
- Make follow-up telephone calls to all prospects following Open Mornings and events to determine how we can help applicants with the next stage in their application
Administration
- Report pupil numbers and a pipeline overview to the Head on a weekly basis
- Update the admissions pages of the school website
- Manage the admissions budget
- Maintain the admissions register and pupil roll in line with inspection requirements
- Manage the CAS process and prepare paperwork for sign off from the Head or Bursar
- Ensure all prospective student documentation is acquired prior to enrolment (School reports, passports, visas etc.) and ensure all relevant records are maintained on the school’s database
- Assist with the regular review of the parent contract and other admissions policies as required
- Keep all pupil records up to date in accordance with school policy and GDPR regulations including Requesting the emergency contact information, medical and allergen lists from new pupils
Other
- Promote safeguarding the welfare of children and young adults and comply with the School’s Safeguarding Policy
- General administration support and ad hoc duties as may be reasonably required by the Head or members of the Senior Leadership Team
Essential
- Outstanding administrative and organisational skills with a high degree of attention to detail
- Excellent IT skills and ability to use MS Office (full training on iSams will be provided where required)
- Ability to manage multiple projects and meet deadlines
- Excellent inter-personal and communication skills
- Present a professional experience and be a strong ambassador for the School
- Display energy, commitment and enthusiasm necessary for this role
- Show an ability to remain calm under pressure, display empathy and diffuse difficult situations
- Evidence of being a strong team player with a can do solution focussed approach
Desirable
- Experience of working within a school’s admissions department
- Experience of working in a customer focussed role
