The Position:
Within the Admissions role duties will be varied and will involve some or all of the following:
- Report to the Head weekly and be responsible for whole school’s admissions progress
- Managing and running the whole school’s admissions process, arranging and conducting tours, assessment days and interviews, preparing offers and liaising with offer holders on acceptance of place.
- Managing, reviewing and updating the admissions process to ensure that all enquiries are responded to within an agreed timeframe
- Plan the annual events calendar for prospective students from Nursery to Sixth Form with the Head and Marketing, organise and run all open events with the support of
Marketing.
- Liaising with local schools and nurseries to ensure they are aware of open days and events happening in the school and build strong links
- Working closely with Marketing to ensure all admissions materials are updated on a regular basis
- Ensure all new student data is inputted correctly onto Schoolbase, create new pupil files, liaise and pass on details to school staff, boarding staff and accounts on new students
- Send regular communications to enquirers, offer holders and to new families due to join the school
- Preparing and sending out pre-arrival information, school uniform information and new parents forms
- Report to the Head on recruitment numbers, and prepare recruitment reports
- Make the relevant notifications to the Local Authority regarding new starters and leavers where appropriate
- Work with heads of key stage to ensure retention of students- in particular Sixth
Form
- Any other tasks deemed appropriate by the Head
Thetford Grammar School –
Specific to International admissions:
- Liaise with agents
- Process applications (arrange online interviews, paper marking and follow up)
- Update and supply marketing material to agents, keep updated of current school news
- Manage the CAS process o Check all documents received against requirements, supply CAS numbers, check documents on arrival o Keep up to date with any changes in regulations and update procedures as appropriate o Complete compliance activities including annual BCA, annual CAS allocation, 6 monthly internal audit, manage student database and keep up to date records of all CAS activities o Ensure the secure storage of BRP cards and deliver them to pupils.
- Welcome and on-board students and families including checking and copying pupils passports and visas.
Host Families
- Actively recruit host families,
- Be responsible for the full process of on boarding new families including initial visits, interviews, liaise with HR to organise DBS and references, liaise with DSL to arrange safeguarding training, collect all necessary documentation from the family.
- Responsible for termly visits to all host houses and ensuring all necessary documentation is up to date.
- Responsible for holding and documenting termly meetings with pupils living with host families, ensuring they are settled and happy and responding and reporting any concerns.
General -
- Support school office staff when required - answering phones, greeting visitors, helping pupils when receptionist and school secretary are unavailable. Cover lunch breaks.
Other Responsibilities
- Attend Open Mornings as required.
- Help in the promotion of the school in the local area
- Undertake such other duties as may be reasonably required, having regard to the terms and spirit of the Contract of Employment and the provisions of the Staff
