Job description
Roseberys are seeking a diligent, enthusiastic, and passionate person to join our Islamic & Indian Arts department.
The position is to provide support to the Head of Department in all aspects of the consignment and auction process to enable the continued growth and success of the department. It is a busy hands-on role and provides the successful candidate an opportunity to gain experience within a specialist department.
Responsablities:
- Being the first point of contact for the department- answer enquiries both on phone, email and at reception regarding upcoming sales, consignments, general questions
- Producing valuation reports and receipts
- Producing and issuing contracts to clients and ensuring all contracts are signed p
- Corresponding with clients pre and post-sale
- Arranging delivery and collection of items
- Receiving deliveries, unpacking, receipting and checking off, moving to relevant storage areas and ensuring safe storage of goods, liaising with the collections department and front of house where required
- Taking the lead on department administration
- Providing assistance and support to the head of department as required, including diary organisation and deadline management
- Assisting with catalogue production: co-ordinating with the photographer to ensure all images are done and correct, liaising with head of department and assisting with deadline checks and assisting to ensure deadlines are met
- Producing an in house catalogue list for the viewing
- Liaising with marketing department regarding advertising
- Assisting with condition report requests
- Lotting up the auction
- Assisting with auction enquiries
- Taking responsibility of the organising and tiding of the department
- Management of storage areas
- Removing items from storage for auctions
- Liaising with other departments when items are taken in for other departments
- Setting up the viewing for the auction; liaising with the head of department about star lots
- Organising preview events
- Viewing and auction day duties
- Assisting with re-entries and returns
- Dealing with collections

Skills & Qualifications
- Strong time management and organisational skills
- Previous experience within an administration role
- Experience within an auction house with a good understanding of the auction process preferred
- Experience in a customer facing role
- Ability to maintain composure in a stressful environment and meet deadlines
- Driven with a positive and can-do attitude
- Manual handling experience
- An all-round team player who is happy to contribute to assist and enable the success of the department wherever required
- Excellent communication and presentation skills
- European language skills are desirable
