Lewisham and Greenwich NHS Trust, Safeguarding Children Team have a vacancy for a part time Safeguarding Administrator

You will work within the Safeguarding Children Team which covers acute and community services. You will be involved in providing comprehensive, efficient and confidential administrative support and data entry to the Team.

This is a very exciting and unique opportunity to develop and extend your skills and knowledge in the safeguarding children field.

To work with Safeguarding Coordinators to provide administrative support, during working day for the provision of a comprehensive, efficient and confidential administrative support and data entry assistance as per service standards, to the Safeguarding Children Teams based at University Hospital Lewisham, Queen Elizabeth Hospital Woolwich, Kaleidoscope Centre Lewisham, using own initiative to problem solve and prioritise the urgency of work and to act on behalf of the team when appropriate and as required.

To act as a point of contact for the Safeguarding Children Team by telephone and email to provide non-clinical advice and information, dealing tactfully and sympathetically with members of the public and professionals at all times, due to the sensitive nature of calls received in these services.

Our staff culture change programme has been key to the Trust’s improvement journey, as we’ve stabilised our workforce by reducing vacancy rates and improving staff retention. We’ve also significantly increased the representation of minority ethnic leaders across our clinical and corporate teams.

  • To collate and maintain data for the Safeguarding Children Service as per service standard.
  • Record safeguarding children activity and outcomes in the relevant databases and IT systems provided by the Trust as per service standard.
  • Assist the Safeguarding Children Service ensuring guidelines / policy changes are updated and uploaded onto Lewisham & Greenwich intranet.
  • Assist in the organisation of child protection medicals, within 24 hours during working day, when Safeguarding Coordinators are not available
  • Assist in the running of the Safeguarding Children Service generic email account and processes during working day.
  • Assist in the distribution of Emergency Department Information Sharing forms during working day.
  • Assist in the collation of agendas for weekly Safeguarding Meetings within Emergency Department and Maternity Services as per service standard.
  • Assist in the planning and delivery Safeguarding Children Service meetings, facilitated by the teams, sourcing and booking the venue, producing/preparing all workshop material registering delegates and ensuring relevant equipment is readily available.
  • Arrange/organise/co-ordinate training events, book venues, make readily available any equipment that may be required for such meetings.
  • To support the organisation of the transfer / sharing of information with multi agency partners, ensuring compliance with the organisational information sharing and information governance procedures as per service standard.
  • Working with the Safeguarding Children Service to monitor and evaluate the service provided by implementing local and national surveys. Support service with the development of project plans to implement improvements.
  • Collect, collate, and produce data for the Safeguarding Children Service in their monthly and annual reports as per service standard.
  • Responsible for receiving and addressing day-to-day incoming/outgoing mail i.e. open, date stamp mail, dealing directly with routine matters and re-directing mail as appropriate on behalf of the teams and in line with agreed administration performance standards.
  • Take telephone calls and record accurate messages. Prioritise urgent messages, and to ensure that all messages are appropriately dealt with. Source any paperwork previously held on file in relation to a call, and pass over to Safeguarding Advisors/Named Nurses with the message for reference information.
  • Implement/establish systems to ensure the roll out of information from the department to all staff in various formats as per service standards.
  • Create/maintain and develop systems, including filing systems, for holding complex and confidential information.
  • Able to deal sensitively with enquiries and/or complaints with due regard to Trust Policy.
