Rate: £12-16 per hour (depending on experience)
Working Hours: 37 hours per week
Job Description: The University's Estates and Facilities team is seeking an Administrator to support their Technical Services and Compliance department. This role requires office-based work in either Carmarthen or Swansea, with the possibility of agile working arrangements after an initial period of 1-2 months. The initial contract will be temporary, with the potential to transition into a permanent position.
Responsibilities:
· Direct support to the Head of Technical Services and Compliance to ensure that short, medium, and long-term priorities are planned, coordinated, implemented and monitored to ensure smooth and timely delivery.
· Have a strong working relationship with the Helpdesk administration team.
· Support the Technical Services & Compliance team and external contractors / stakeholders to ensure tasks are allocated and delivered in the most cost efficient and effective way possible.
· Support the Building Fabric Team Leader and Compliance Officer in ensuring scheduled work is prioritised and communicated to the team.
· Develop and maintain Unit administration processes and procedures, with a particular emphasis on effective Unit control and compliance with University policies and procedures.
· Ensure the relevant documentation is recorded into the CAFM system in a timely manner
· Responsible for the administration of the Compliance email inbox.
· Support all Unit meetings e.g. arranging logistics, minute taking, preparation of papers etc.
· Support the Head of Technical Services and Compliance with preparing reports such as compliance audit, annual reports and submissions for internal Committees.
· Make constructive contributions to improvements to Unit services or procedures.
· Maintain and oversee the Unit filing system and document library on behalf of the Unit to ensure information and data is up to date.
· Ensure that the interface with all external stakeholders / contractors is supported in a timely and proactive way.
· Assist the Head of Technical Services and Compliance with the management of unit budgets and spend.#
· Assist with the monitoring and coordination of all compliance issues on behalf of the Unit, maintaining a log of all necessary applications and returns in respect of licences and regulatory requirements.
Requirements:
- Previous experience in providing high quality administrative support
- Possesses good interpersonal and communication skills with the ability to communicate effectively at all levels.
- Ability to demonstrate effective organisational skills.
- Ability to apply attention to detail when required.
- Ability to meet tight deadlines when required
- Possess excellent IT skills
- Demonstrates self-motivation and ability to work unsupervised
- Demonstrates respect for a diverse range of people and recognises the importance of building sound working relationships.
- Able to work as part of a team and in partnership with others.
- Ability to start immediately is essential
