Job description

The main purpose of this role is to support the team and other staff with administration tasks, be able to identify funding opportunities and put/submit applications together to seek funding, monitoring of projects and collecting evidence to support this. Monitor the timetable of activities with the Senior/ Community Administrator, booking rooms to hire, ensure all paperwork is available, registration forms, attendance sheets, feedback forms. Monitor the web page and social media, produce flyers and publications to advertise activities and events.

The Administrator will be a team player and able to work to deadlines and keep an up-to-date record on contacts and service users whilst adhering to GDPR and Data Protection

To undertake all aspects of administration and clerical duties in relation projects funded by the Community Resources Grant and the Henry Smith Charity project managed by Norris Green Community Alliance. (Collecting of data and inputting to Excel and other systems)

To be responsible for developing publicity materials to publicize different events and activities across the community using Facebook, twitter and other social media.

To provide support to the Community Development Officer and Trustees of N.G.C.A. with reports and minute taking at Board Meetings.

Main Duties and Responsibilities

· To support and assist the Community Development Manager fulfilling all administration aspects and gathering of monitoring information of Community Resource Grant, the Henry Smith projects and other funding bodies.

· To have a comprehensive knowledge of IT systems including accessing emails, information and excel programmes etc.

· To have a knowledge of administration required to run and maintain a charitable organisation.

· To have some experience of how Local Authority Funding is accessed, with Trusts and other Funding bodies supporting charitable aims.

· Admin duties including but not limited to data entry, report writing, observations, evaluations, monitoring.

· Strong administrative skills

· Flexibility

· The ability to learn quickly and take on tasks outside your skill set.

· Willingness to do routine tasks.

· To be able to input data/ information through computer programmes, i.e., word, excel office etc.

· To be responsible for retrieving information and documents and circulating where necessary.

· To ensure that diaries are managed effectively, maintain the filing system to ensure that any documentation is kept correctly and transactions are recorded.

· To be prepare (typing) reports and letters for the for the Community Development Officer and Management Committee.

· To deal with telephone enquiries and face to face enquires effectively when necessary.

· To be able to communicate/liaise effectively with the public and other agency staff at meetings.

· To ensure monitoring and evaluation paperwork is completed and up to date by all funder's to agreed standards and to ensure that all reports and returns are completed as required.

· To be responsible for maintaining IT systems for the organisation.

· To design forms/flyers/posters/leaflets to promote the project and other events/ projects that the Alliance is involved in. (In cooperation with the senior administrator)

· To order resources/materials for the organisation as and when necessary.(via the Community Development Officer/Senior Administrator)

· To undertake all duties as commensurate with the job title (one would be to check the weekly Fareshare delivery)

NB. This is an outline description of the job as it presently exists. The job description will be examined periodically and updated to ensure that is related to the job as then being performed, or to incorporate whatever changes are proposed by the Alliance. Any such changes will be subject to consultation with the potholder. It will be the Alliance aim to reach agreement to reasonable changes but, if agreement is not possible, the Alliance reserves the right to insist on changes, following consultation.

Job Type: Part-time
Part-time hours: 24-28 per week

Salary: £12.50 per hour
