Job Summary
This role is an exciting opportunity to support the Newcastle GP Services (NGPS) Flexible Workforce Hub (Flexipool). Flexipool is a new and expanding active bank of clinical and non-clinical staff, covering multiple roles within General Practice. The aim of Flexipool is to provide flexible working into Primary Care, to cover planned leave, existing vacancies and short-notice unplanned absence across General Practice in Newcastle.
We are looking for an experienced administrator to support with the day-to-day running of the Flexipool. The post holder will work with the Flexipool team at NGPS, and responsibilities will include managing emails and communications with newly recruited staff, and supporting the on-boarding process and associated documentation for GPs working across the Flexipool and Urgent Treatment Centre (UTC) bank. This role will be based at the NGPS Office in Gosforth, with the opportunity to work from home.
This role is offered on a 3 month contract, and ideally we are looking for someone who has availability 3 days a week: Tuesday, Wednesday, Thursday, with some flexibility to fit around the successful candidate’s availability. Job Description
You will be responsible for administrative functions, including but not limited to:
- Using Microsoft Outlook to manage and organise emails in a shared inbox
- Responding to, and escalating queries
- Communicating with partner organisations
- Communicating with GPs on the Flexipool
- Following processes to support the recruitment and on-boarding of new staff
- Supporting with rota management and creation
- Supporting with process development and document creation
- Maintaining accurate records
- Using Microsoft Excel to record information
- Working as part of the flexipool team to achieve shared goals
- General administrative duties
- Handle information in line with GDPR
Person Specification
Qualifications
· Educated to GCSE level or equivalent
Skills
· Strong IT skills, including use of Microsoft Office
· Excellent verbal and written communication skills
· Ability to work as part of a team
· Excellent time management and ability to work under pressure
Experience
· Experience in an administrative role
