Job Title: Therapy Administrator
Location: Home based
Responsible to: Laura Dunger
Pay: £12.70 per hour, Maximum 15 hours per week.
Job Summary
The post holder will have experience of working within a clinical or educational setting. The role will involve providing administration to the team at Grow Therapy Services. Including day to day tasks and providing solutions to working in an efficient working environment.
The post holder needs to have excellent interpersonal skills, organisation and communication skills (written and verbal) to be able to work without direct supervision to take initiative to problem solve issues as they arise. The post holder will have direct contact with families and people who we work with and therefore must be approachable to our families.
Understanding Microsoft Office software such as word, teams, outlook is essential. You must be confident with IT and computer skills and have an ability to follow procedures and keep to deadline.
To work in collaboration with all members of the team in meeting the needs of children, young people and families referred to Grow Therapy Services. The post holder will be required to work flexibly to meet the needs of the service and the client group.
Key Activities
- Schedule, manage, negotiate, arrange and amend appointments and clinicals working within established guidance. This includes liaising with many different people through email, and phone calls.
- Participate in service development, attending team meetings and supporting such as taking minutes as required.
- To be responsible for the correct maintenance and repair of equipment and ensure correct and safe equipment is available.
- To be able to drive and travel in-between sites and environments.
- Retrieving and relaying messages to and from people who work with and for Grow Therapy Services.
- Maintenance of accurate and up to date data systems, information sharing and reporting systems.
- Supporting the coordination of clinical allocations, room booking and the production of clinical information (e.g. reports, letters).
- To ensure good working relationships with children, young people, young adults and their families, education provides, health services and social care services.
- To communicate complex and sensitive information to young people, caregivers, staff, health, social and education providers and services and be able to adapt communication methods to the audience.
- Establish and maintain communication with others including verbal, electronic and written to support the young person and their goals.
- To liaise and organise Therapy assessments including liaising with education, professionals, families.
- Be active on social media for Grow Therapy Services Instagram and Facebook page.
Documentation and Professional Ethics
- To provide clear, concise clinical records, verbal and written reports to the clinical team, and other relevant parties, adhering to local procedures and standards as related to documentation.
- Ensuring confidentiality at all times and ensuring sensitivity to the audience’s level of understanding and prior knowledge.
- To respect values, cultural and religious diversity of individuals and contribute to the provision of a service sensitive to their needs.
- Role model the values of their organisation/place of work, demonstrating a person- centred approach to service delivery and development.
- Actively seek feedback and involvement from individuals, families, carers, communities and colleagues in the co-production of service improvements
Training and Development
- To complete mandatory training.
- To be actively involved with in-house training and teaching of specialist skills relevant to clinical area.
- To further develop a variety of specialist skills through CPD opportunities, including formal training and work-based learning.
- Evaluate and audit own and others’ clinical practice, selecting and applying valid, reliable methods, then acting on the findings.
Clinical Governance
- To ensure practice is underpinned by the principles of clinical governance.
- To keep up to date with and ensure that occupational therapy staff are applying national guidelines/legislation relating to health and social care in mental health service provision.
