We provide comprehensive NHS primary care services to our patients. We are a small practice with long term staff including doctors, a practice manager, administrators and practice nurse.

Job Title: Administrator
Reports to: Practice Manager
Job Type: Available as temporary contract or long term.
Salary: Depending on experience.
JOB SUMMARY: Be first point of contact for patients accessing the practice for clinical care, information or support
Ø Facilitate patients accessing the practice for clinical care
Ø Support Doctors and Nurses in providing clinical care
KEY RESPONSIBILITIES:
Ø Ensure visitors and telephone callers are greeted professionally
Ø Ensure telephone calls are managed appropriately
Ø Manage the flow of patients arriving at the reception desk for appointments, prescriptions or enquiries
Ø Ensure clinical staff receive medical records
Ø Ensure repeat prescriptions are generated accurately and efficiently
KEY TASKS:
Front desk duties:
Ø Reception of patients for surgeries and clinics
Ø Make appointments
Ø Answer telephone. Ensure that the telephone system is operational at the start of each day and that the system is diverted to NHS24 at 6.00pm
Ø Take home visit requests and pass to GP
Ø Manage the flow of patients at the desk and in the waiting room
Ø Deal with patient enquiries efficiently and courteously
Ø Pull and file medical records
Ø Order hospital transport and arrange ambulances
Ø Liaise with secondary care providers
Ø Open practice mail
Ø Scan practice mail and results on to Docman system for attention of clinical staff
Ø Post outgoing mail
Ø Process prescriptions requests
Ø Support and assist GPs, Practice Nurse and visiting Health Professionals as required, including acting as chaperone
Ø Daily preparation of clinical rooms
Ø Ensure clinical rooms are stocked with forms and equipment to enable surgeries to proceed without interruption
Ø Ensure premises are kept clean in between visits from the cleaning staff
Ø Maintain security measures, ensure all clinical rooms are locked when not in use
Ø Liaison with attached staff including District Nurses, Health Visitors, Midwives, Counsellors, Podiatrists, Dieticians
Ø Support and encourage other members of the Practice team
Ø Maintain Health and Safety of staff, patients and visitors
Ø Receive specimens from patients, ensure correct labelling and recording following practice Health and Safety policy
Ø Advise patients of private charges for medical reports
Administration duties:
Ø File patient records and correspondence electronically
Ø File paper documents when appropriate
Ø Register new patients and complete the registration process
Ø Maintain patient records, both paper and electronic, access patient information
Ø Deal with incoming and outgoing electronic and paper patient medical records
Ø Scan documents onto medical system
Ø Send letters to patients
Ø Photocopy notes and other information
Ø Update registration details on notes and computer e.g. change of address
Ø Record and inform others about death of a patient
Ø Send recall letters
Job Types: Full-time, Part-time, Permanent, Zero hours contract
Part-time hours: 15 per week
