Key Position Summary:
· Responsible for all office administration and clerical duties to facilitate the timely delivery of the annual UK GEP & GLP field trials programme.
· Following appropriate training, act as Assistant Archivist, ensuring all appropriate study (GEP & GLP), facility and personnel records are archived and to control issue and recalls of the SOPs (not production) and access to the archive.
· Act as Health & Safety Lead (following appropriate training as required); Conduct site safety inspections (“Risk Assessments”), document & report control measures as required. Distribute safety-related documents, information and notices to the staff.
· Support the Field Testing Manager to coordinate HR (Human Resources) needs (depending on experience).
Primary Duties and Responsibilities:
Administrator
- To co-ordinate and carry out all administration processes required to facilitate the delivery of the annual UK field trial programme including trial status (sending trial data updates) & information delivery (including report drafting support at end of trials).
- To support the Field Testing Manager to manage the day to day operation of the Field Facility including liaison with the landlord (as required), organising maintenance of the buildings, ordering office & field supplies (including agrochemicals, seeds and fertiliser).
- Maintain and develop all filing systems. Support the field staff with data entry (as required), field trial report drafting (completion of data/info) and updating company trials progress system (InSite) using information captured in trial schedules (by field staff).
- Generate trial information booklets (“Field Notebooks”) and plot labels for the field team before trial starting.
- Support field staff with the booking of shipments of crop samples (to laboratories) and raw data packages (GLP). Assist field staff with trial visits, client, technical & team meetings with the timely production of relevant documents (from ARM files) and organising refreshments.
- Communicate effectively with clients and company personnel via telephone and/or e-mail or during field facility visits.
· Liase with external IT support company for all business IT needs (as required).

Assistant Archivist role
- Following appropriate training, fulfil the role of Assistant Archivist (working alongside the Archivist) ensuring SynTech UK conforms to the relevant national GLP and GEP guidelines.
- Support the team to ensure all appropriate study (GLP and GEP), facility and personnel records are deposited and retained in the UK Archive (plus manage controlled access).
- Following appropriate training, support the Archivist for the control, issue and recalls of the SOPs (not production) and access to the archive.
Qualifications/Education/Experience/Soft Skills requirements:
· At least 5 years practical working office experience in General Administration.
· Works efficiently with good attention to detail.
· Excellent written and verbal English.
· Good PC skills including the use of all Microsoft programs (including 365).
· Excellent communication, task prioritization (flexibility around changing business needs) and organisation skills.
· Experience in Health & Safety desirable but not critical.
· Experience in HR desirable but not critical.
