Your main duties will include processing health requests for children in care from both local and out of area local authorities. You will update clinical systems and you will be working with sensitive, confidential and potentially distressing information.
You will be required to distribute confidential clinic letters and reports, dealing with post, working closely with clinical staff and liaising with external Agencies as well as producing a range of information from a variety of data sources.

To apply, you will need to have a good level of education (including English and Maths) and ideally Level 2 in business administration or equivalent. This post will involve regular VDU use and proficient use of various Microsoft office packages (i.e. word, excel, outlook, calendars). Therefore, these are essential for this role.

Knowledge/use of the NHS Rio system and Care plus is desirable, however, full training will be given as required.

As a person, you will need to be self-motivated, with the ability to prioritise your daily workload and managing your time effectively. The team work from home so it is essential that you will be able work independently as well as being a good team player, with excellent communication and accuracy skills.

MAIN DUTIES AND RESPONSIBILITIES
1. To co-ordinate and process the requests for Initial and Review Health Assessments that are required for Children placed by or placed in the Staffordshire and Stoke on Trent area, ensuring that the information is recorded accurately and according to trust policies on record keeping standards within the systems that are used.
2. To ensure that the requests for the health assessments are processed in a timely manner and the request and relevant information is sent to the appropriate teams.
3. To ensure that any notifications from social care teams regarding movement of children in care or changes to legal status are updated on the child health systems and that the relevant teams are advised of the changes, including child health.
4. To ensure that requests for foster carer health information is processed and forwarded to the relevant professionals or teams and returned to social care in a timely manner.
5. Assist the team with the preparation of all documentation, such as records, filing, appointments, photocopying and computer work as required.
6. Provide training/advice to other team members on use of computer packages
7. Contribute in data entry or storage of data within agreed timeframes, bringing to attention any delays and inaccuracies in order to meet Quality Framework requirements, outcome measures and best practice standards in order to deliver an effective, high quality
8. To collect and input statistical information as required and ensure that reports where requested are delivered within timescales.

3. Provide general non-clinical advice, information and guidance to children and young peoples, parents and other professionals, to deal with all enquiries and communicate effectively on behalf of the Team.
4. To deal professionally and promptly with telephone enquiries, taking and processing messages accurately and adhering to relevant policies and procedures.
5. To participate in meetings to ensure effective communication is maintained.
6. To contribute to the induction of new staff to the service.
7. Making bookings and cancellations e.g. training places, rooms and interpreters.
8. Receive, sort and distribute internal and external mail, ensuring that important and sensitive information is brought to an appropriate person’s attention in a timely manner.
9. To participate in regular supervision and identify own training/educational needs as part of the supervision and appraisal process in conjunction with registered

SYSTEMS AND EQUIPMENT

1. Ability to use a range of software programs, such as Microsoft Word, Excel, PowerPoint, Outlook, and a range of office equipment including photocopier, printer, laminator etc.
2. To keep Patient Information Management System (RIO) accurate and up to date and extract or request reports as required.
3. Ensure service equipment is cleaned, maintained and serviced
4. Liaise with the appropriate estates/facilities provider to ensure that day-to-day repairs and maintenance is carried out where required. Reporting and tracking minor repairs to appropriate personnel.
5. Undertakes the ordering of equipment, stores and consumables using Trust procedures. Co-ordinates stock control

1. The post holder will act in accordance with Staffordshire Safeguarding Children’s Board and Trust policies with regard to safeguarding.

COMMUNICATION AND RELATIONSHIPS

1. Have excellent verbal and non-verbal communication skills to engage with a wide range of individuals including team members, children and young peoples, parents/ carers, other professionals and partner organisations across other disciplines and agencies.
2. Use a non-judgemental approach when liaising with professionals, children and young peoples, carers and families.
3. Be able to communicate sensitive information.

PHYSICAL DEMANDS OF THE JOB

1. Be adaptable to ensure safe working practices across a range of settings.
2. Have a range of computer skills.
3. Have the ability to concentrate where work pattern is unpredictable.
4. Sitting in a restricted position when using a VDU for 7.5 hours each day.

EMOTIONAL DEMANDS OF THE JOB
1. The postholder will have direct exposure to distressing emotional circumstances when dealing with telephone queries and possible highly emotional circumstances too.
