Job description
General duties and responsibilities for Council of RFCAs
a. Principally, to support the Chief of Staff in all HR and secretarial areas.
b. Act as CRFCA Honours and Awards Clerk.
c. To act as ‘front of house’ for the CRFCA including handling of routine telephone enquiries, taking messages and subsequent action as and when required. Manage entry of the building’s secure entrance.
d. To sort and distribute the incoming mail. Weighing, franking and posting the day’s outgoing mail and delivering mail to the Post Office pick up point.
e. To learn and operate all office machinery related to the tasks in the registry (Photocopier, Franking Machine etc.)
f. Assist with the preparation and administration of all CRFCA business meetings (e.g. assistance with layout of the conference room, preparation of refreshments and lunches as required).
g. Assist with the preparation for the Annual Chairman’s Dinner and Annual Briefing.
h. Assist with preparation of folders/briefs for CRFCA meetings as required.
i. Manage changes on the CRFCA website and the Alternative Venues website via DDC.
j. Acting as note taker to meetings when required.
k. Cover for the Office Manager during periods of leave/absence.
l. Keep track of Health and Safety issues and complete DSE checklists at regular intervals and attend the SHEF meetings twice a year.
Main duties and responsibilities for the United Kingdom Reserve Forces Association (UKRFA).
a. To be the main point of contact for the UKRFA by being responsible for the opening of incoming and outgoing post/fax and dealing with email and telephone enquiries.
b. As the UKRFA Membership Secretary, keep and maintain accurate membership records and update; monitor and oversee membership subscriptions and keep and maintain accurate Committee lists and update.
c. Co-ordinate applications for training grants, co-ordinate the detail for the Interallied Confederation of Reserve Officers (CIOR) and Confederation of Medical Reserve Officers (CIOMR) Congress including group travel arrangements overseas including processing payments.
d. Populating the UKRFA Facebook & Twitter pages.
e. Type correspondence relating to UKRFA and assist other Departments as required and support the UKRFA volunteer staff officers when appropriate.
f. Preparing all facilities and papers for the main UKRFA meetings – Executive, Council, AGM and Customer Board.

(4) Self-motivated, enthusiastic, team focused, organised and methodical with attention to detail.
b. Desirable
(1) Social Media aware- (Facebook and Twitter mainly)
(2) Ability to organise overseas bookings for large groups
2. Qualifications

(1) Good interpersonal skills
(2) Computer literate (possessing a good working knowledge of MS-office applications).

(1) Fire Marshal or First Aid Trained
