Purpose of Post
To competently support the Organisation in service user management and general admin tasks
Contract Basis: 3 month Probationary Period, permanent contract dependant on funding
Hours: 30hrs a week to be worked over 5 days, Mon-Fri, 9-3.30
Rate of Pay: £13.75
Pay Frequency: Monthly
Duties and Responsibilities

1. Service User Management
· Manage Service User Records
· Manage the Organisation’s Database
· Complete monthly Service User Data Record Sheet Updates
· Issuing Parent/Service User Packs/Maintaining and Updating Waiting Lists
· Organising first visits
· Communicating with Parents
2. General Administrative Tasks
· Reception Duties: buzzer, telephone etc
· Printing/Photocopying/Typing/Filing
· Correspondence and Mailing Post
· Purchasing Supplies
· Maintaining HR Folders under the direction of HR Officer
· Maintaining Board Records/Memberships/Insurance etc (with HR Officer)
· Produce all Forms/Record Sheets etc required for Sessions on request
· Produce and Process Attendance Registers for SU’s & Staff
3. Building Maintenance Management
· Maintain H&S Folders/Records/Processes/Arrangements
i. Fire Safety
ii. Food Business
iii. Water/Waste/Personal Hygiene/Security
iv. General Maintenance/Boilers/Heating
v. IT/PAT Testing/General Cleaning
4. Financial Support
a. Provide support with financial tasks
b. Identifying savings
c. Gift Aid Management
