Background

Efficient administrative staff who strive to achieve the highest standards of customer service are crucial to the effective operation of the Courts, Tribunals and service centres within HM Courts and Tribunals Service (HMCTS). The National Business Centres (NBC) are one of the core elements within HMCTS whereby administrative and contact functions have been centralised. The NBCs work to ensure that bulk administration and customer contact are delivered to a high standard, allowing our customers to access the services they need with HMCTS. The NBCs have sites in various locations in the UK, covering different areas of work delivered by HMCTS, such as Civil Money Claims, Divorce, and Tribunals.

We’ve been modernising our justice system to make it more straightforward, accessible, and efficient. As part of this ongoing reform programme we have a number of fantastic opportunities available to join our team.

We are offering contracts which based on individual circumstances can be full time, part time or compressed hours. We also offer a range of working patterns. The posts will be based at our National Business Centre in Northampton Town Centre, and whilst the nature of our work largely requires employees to be office based, we may be able to offer hybrid working arrangements. However, this will be discussed on a case-by-case basis and cannot be guaranteed.

Role Purpose

Our administrative teams are the core of the NBC, delivering great customer service and operational processing work to enable Justice. The teams work across a variety of jurisdictions and get chance to not only deliver the processes and service to customers, but to shape and continuously improve the way we operate. Typical roles include processing paper and digital work from customers, telephony, customer complaints and correspondence, and other administrative work. We empower our staff to be the voice of our customers, giving them opportunity to make changes that matter to our users.

Key accountabilities include:

  • Preparing papers and files for court, tribunals, hearings and meetings.
  • Producing court/tribunal documents.
  • Creating and updating records on in-house computer system and data input.
  • Post opening and dispatch
  • Drafting standard letters and correspondence, minutes, notes, reports, submissions etc, according to guidelines and instructions.
  • Processing casework including standard documentation and information, court orders, claims, fines and fees, legal aid
  • Liaise with customers to provide updates and answer queries
  • Communicating with the public, the judiciary, other court and tribunal users and representatives of other agencies and Organisations

Other duties

  • The post holder is required to work in a flexible way and undertake any other duties reasonably requested by line management which are commensurate with the grade and level of responsibility of this post.

Working Arrangements & Further Information

The MoJ offers Hybrid Working arrangements where business need allows. This is an informal, non-contractual form of flexible working that blends working from your base location, different MoJ sites and / or from home (please be aware that this role can only be worked in the UK and not overseas). Some roles will not be suitable for Hybrid Working. Similarly, Hybrid Working will not suit everyone’s circumstances. Arrangements will be discussed and agreed with the successful candidate(s) and subject to regular review.

For nationally advertised roles, the successful candidate(s) will be appointed to a MoJ office location, which may include their nearest Justice Collaboration Centre or Justice Satellite Office. This will be discussed and agreed on the completion of pre-employment checks.

Some of MoJ’s terms and conditions of service are changing as part of Civil Service reform. The changes will apply to staff joining MoJ who are new to the Civil Service. Staff joining MoJ from other civil service employers will transfer onto the new MoJ terms if they are already on ‘modernised’ terms in their current post or onto ‘unmodernised’ MoJ terms if they are on ‘unmodernised’ terms at their current post. Details will be available if an offer is made.

Annual Leave

Annual leave is 25 days on appointment and will increase to 30 days after five years’ service.

There is also a scheme to allow qualifying staff to buy or sell up to three days leave each year. Additional paid time off for public holidays and 1 privilege day. Leave for part-time and job share posts will be calculated on a pro-rata basis.
