Ensuring the Facilities function is professionally managed to agreed service standards and responsive to the business needs.
This will include:
- Managing and leading the Facilities function across the UK to become best in class, aligning ways of working and processes and utilising best practice from across the locations
- Ensuring compliance with all health and safety standards associated with the property portfolio which would include inspecting properties on a regular basis to determine the need for repairs and renovations.
- Liaising with regional property director to ensure effective management of all property leases, ensuring rentals are charged in line with agreement
- Provide and co-ordinate R3 support as appropriate from the administration team and to co-ordinate and ensure recording of data is timely and accurate as required
- Ensuring all operations are administratively supported, developing the administrative support function as required.
- Responsibility for the UK property budgets and subsequent managing and maintenance of them during the financial year
- Managing the contracts and provision of key facilities sub-contracts eg cleaning, waste disposal, utilities provisions, security and reviewing and aligning the contracts regarding office supplies, mail and courier services, switchboard/reception arrangements, archiving and food facilities
- Responsibility for the return of property at the end of lease period, management of associated building reinstatement works and to lead negotiation and settlement of any dilapidations on return of property to the lessor
- Co-ordinating and budgeting all office refurbishments or installations as approved by Snr Management and liasing with Finance/Property/R3 and IT functions as required. Responsible for reviewing and monitoring workspace management by monitoring of office utilisation. including consultation and collaboration with Finance and IT functions as required
- Leading and promoting new Worley campaigns and working to meet Worley’s sustainability commitment is maximised in respect of Property.
- Developing and creating reports as required to be reviewed and to consistently measure against the group occupancy standards
- Liaising with office security to ensure safety of buildings and staff in conjunction with location management
- Ability to adapt to short term pressure or urgent situations to support operational and line management
- Promote and develop sustainable strategy for property, particular focus on utilities consumption with aim of long-term cost management and to mitigate and reduce environmental impact
- Review utilities consumption and strive to minimize costs
- Ensure, supervision of all external contractors when on site undertaking necessary works
- Ensure all necessary data is shared and provided to internal Worley team managing insurance arrangements and contracts
- Proven experience as facilities manager or relevant position that demonstrates an understanding of facilities management best practices
- Good analytical/critical thinking and good knowledge and understanding of developing and maintaining a budget
- Excellent organisational skills and an ability to work under own initiative and to lead a successful team
- Demonstrate a high standard of leadership in HSE workplace behaviours
- Experience in influencing and negotiating with suppliers
- Strong communication skills both verbal and written
