Job description

Experienced Admin Team Leader required for our client based in Eccleshill.

37.5 hours per week, Mon to Fri. £25,147 starting salary, rising to £27.5k after 3 years.

You will be responsible for the provision of efficient administrative support for the Patient Bookings Services team for a range of clinics. You will coordinate, support, train and supervise the Admin Assistants and develop key relationships with a range of clinical staff, patients and their families.

Key Responsibilities:

  • be the representative for the team, leading them efficiently and being an ongoing mentor
  • responsible for clinician rotas by liaising via email and planning up to 1 year ahead
  • ensuring the team are utilising every appointment and clinics are full
  • provide excellent customer care - greet and speak to outpatients, visitors, members of the public and staff in a friendly, professional and courteous manner
  • answer telephones to a pre-agreed standard and deal with all enquiries as efficiently as possible
  • provide telephone advice and assistance to patients regarding general admin matters concerning their procedures
  • investigate complaints regarding the service
  • training of all new staff
  • notify patients of their appointments, providing appropriate information and instructions
  • ensure accurate patients data on all software

Key Requirements:

  • Management/Leadership qualification or at least 2 years' experience in a supervisory/leadership role
  • NHS experience is desirable
  • Experience of working in a busy office environment (or similar customer service setting)
  • Strong IT skills and the ability to prepare reports/spreadsheets to a high standard
  • Experience using SystmOne is desirable
  • Time management and problem solving skills
  • Highly motivated and enthusiastic
  • The ability to deal with situations calmy and confidently
  • Knowledge of GDPR - ideally knowledge of patient pathways in a hospital or GP setting
  • Tactful, sensitive, and resilient with good stress management skills
