JOB SUMMARY
Provides support to VP and CHRO when required. Performs other related tasks as assigned by management and team. Compliant with Marriott International Hotels Ltd London Office policies and procedures.
SCOPE/BUISNESS CONTEXT
- A fixed-term, full-time position based at the Fetter Yard Office.
- Working hours as required to do your job but normally not less than 40 hours per week
CANDIDATE PROFILE
Experience – Required
- Previous administrative experience supporting a senior executive essential
- Previous experience in dealing with confidential/extremely sensitive material essential
Experience – Preferred
- Knowledge of Marriott International Key Brands and Strategies with a strong administrative background – ability to work using their own initiative, ability to effectively communicate with all associates
- Flexibility of a role dependent on business needs
- Experience working in an HR department
Skills and Knowledge – Required
- Exceptional communication skills (verbal, listening, writing)
- Strong skills in Outlook, Word, Excel, PowerPoint and Teams
- Excellent computer skills—speed and accuracy of spelling and grammar
- Highly organized and efficient/flexible approach required as business objectives can rapidly change
- Ability to manage varying needs and prioritizing to ensure the best business results
- Ability to design and implement successful tracking of documents and spreadsheets

- Meeting management (booking dates, locations, collating agenda items and minute taking)
- Maintaining office supplies for the department
- Maintaining, collating and distributing relevant team activity reports
Education or Certification
- High School completion or equivalent required; preferably around administration and secretarial qualifications

The following are specific responsibilities and contributions critical to the successful performance of the position:
Talent Acquisition
- Supports the coordination of HR Leader interview schedules and processes as required
- Supports the coordination of senior team recruitment as required
Total Compensation
- Assists with any Compensation and Benefits data compilation
Human Resources – General
- Maintains Email Distribution Lists to ensure accurate details
- Updates Organisation Charts
- Updates Contact list and HR Email distribution lists
- Creates and maintains shared folders and team performance-tracking documents
- Produces and distributes team correspondence, presentations and other related documents as required
- Composes, produces and signs correspondence on routine matters
- Maintains office supplies for the HR Office
- Processes expense reports for VP HR as required
- Budget control: Processing invoices and as required
- Tracks travel and vacation schedules for VP
- Tracks team vacation and movements
- Maintains, collates and distributes all relevant activity reports
- Coordinates venue, agendas and minutes for various meetings
- Coordinates all travel and hotel accommodation arrangements for VP HR
- Sets up conference calls and necessary information technology, web-conferencing for meetings
- Maintains diaries and schedules appointments and meetings for the VP HR
- Responds to various requests for help and information
- Assists HR Operations with various administrative and service-related tasks as required
- Update and maintain HR MGS pages.
- Complies with Marriott International policies and procedures
- Coordinates team recognition celebrations for VP HR direct reports
- Cover for EA to CHRO when on leave
Other
- Performs other related tasks as assigned by management
- Complies with Marriott International and policies and procedures and local Standards
- Some travel may be required
