JOB TITLE REPORTS TO FOCUS OF ROLE
Front of House Coordinator HR Manager (WITH EXPERIENCE IN LUXURY)
Delivering a high-quality front of house service to both clients and staff, whilst ensuring the smooth running of the office and facilities in a professional and approachable manner
DAY TO DAY RESPONSIBILITIES FRONT OF HOUSE
- Answer, screen, and forward incoming calls
- Meet and greet clients and visitors
- Maintain the studio telephone list
- Manage the studio wide diary
- Issue a daily update of meetings, out of office, absence etc.
- Monitor daily attendance and whilst applicable, ensure studio COVID procedures are adhered to
- Distribute post and deliveries
- Ensure the studio is tidy and presentable
- Ensure that the meeting areas are prepared both before and after all meetings, liaising with cleaningcompany on areas that require special attention
- Ensure that all refreshments are prepared and delivered to meetings in a manner that meets ourexpected level of client service
- Liaise with couriers for parcels in and out of office
- Ensure that additional cover is in place during busier times and absencesOFFICE AND FACILITIES
- Responsible for ordering of stationery and maintaining sufficient stock of regularly required items
- Responsible for ensuring that kitchen supplies / refreshments are stocked sufficiently
- Responsible for logging office equipment and where appropriate the relevant loan procedures forexample mobile phones, iPads and cameras etc.
- Coordinate storage facilities, arranging collection and delivery of goods as required
- Coordinate and maintain the archiving system
- Assist the HR Manager with any facilities management issues
- Daily point of contact for facilities contracts with: Aspect, Hammer & Halo,Bayleaf Cleaning, and ADTAlarms
- In liaison with the above providers and HR Manager, ensure that all issues are logged correctly andresolved swiftly and satisfactorily
- Oversee studio cleaning and that FOH standards are maintained
- Assist with managing seating arrangements, hot desking and office moves as required
- Maintain studio equipment schedules, including the IT equipment inventory
- Manage and maintain the studio contacts database
- Maintain the studio expiries and renewals schedule
- Maintain the office manual and Disaster Recovery Procedures in liaison with the HR Manager
- Ad hoc duties as required
Job Type: Full-time
Salary: £28,000.00-£32,000.00 per year
Ability to commute/relocate:
- West London: reliably commute or plan to relocate before starting work (required)
