Purpose of the role
Williams Lea have a fantastic opportunity to join a growing team in Bristol as a Legal Administration Assistant. This full-time position will require the successful candidate to provide general office administration whilst working closely with the office manager and our client. The support provided to our client will require a high degree of customer service, hands-on direction, initative and daily self-management. This role will encompass a degree of client daily general office assistance and administration with wider support services as required.
Key Responsibilities
- Assist with the smooth running of the office and all day-to-day operations
- Conserve high communication with the office manager and our client
- Assisting with staff security and staff access to the premises
- The ability to accurately track all daily duties and tasks
- Preparing and drafting outgoing email and letter correspondence
- Accurately inputting client billing information and raising month-end reports
- Receiving, processing, distributing and externally sending mail items and the arrangement of couriers
- Ordering and distribution of stationery supplies to the office
- Preparing and collating documents for printing, scanning, and photocopying with a high level of finish whilst maintaining a high level of confidentiality
- Management of document archiving in line with the firm’s policy and procedures
- Diary management for the office, including booking travel, organizing events, and raising expenses in a timely manner
- Answering phone calls in a timely manner and recording accurate telephone attendance notes
- Meeting clients and managing on-site meeting rooms and providing hospitality & catering services
Key Skills
- Previous administration experience essential, preferably within Legal
- Competent with all Microsoft packages
- Previous customer service experience
- Excellent multi-tasker with a flexible working approach
- High attention to detail
- Exceptional communication skills and professional approach
- Ability to work to deadlines and prioritise workload
- Ability to work as part of a team alongside working independently
