We are currently searching for an HR/Office Coordinator in our HR department situated near White City, West London.


Summary:

We are looking for an efficient HR/Office Coordinator to undertake various HR and office administrative duties. You will facilitate daily HR functions like keeping track of employees’ records and supporting the interview process. Your role includes some Front of House duties,
but mainly involves performing tasks with a focus to grow our company’s talent pipeline.


The ideal candidate will have broad knowledge of Human Resources and general administrative responsibilities. Reporting to the Head of HR - UK, the successful candidate will be able to work autonomously, possess a strong attention to detail and accuracy, specifically in data input and processes. Must be able to manage multiple priorities with a sense of pride, ownership, and urgency. Candidates must also be able to maintain an elevated level of confidentiality, handle sensitive subjects and work autonomously. Ultimately, you should be able to contribute to the attainment of specific goals and results of the HR department and the wider organization.


Essential Duties and Responsibilities:
  • Manage the HR Inbox to ensure queries are quickly resolved.
  • Support the recruitment/hiring process by sourcing candidates, performing background checks and telephone screening, assisting in shortlisting, issuing employment contracts etc.
  • Prepare/coordinating onboarding & offboarding documentation and assets.
  • Prepare HR documentation.
  • Responsible for HR system entries/changes.
  • Assist line managers in performance management procedures.
  • Schedule meetings, interviews, HR events etc.
  • Audit employee files, including separating term files.
  • Produce and submit HR reports.
  • Assist in ad-hoc HR projects.
  • Support other departments as required.
  • Hybrid working – minimum 3 days in office.
  • Serve as back up for front desk reception: receiving deliveries, greeting team etc.


Qualifications / Skills:

  • Educated to A ‘level standard and/or equivalent experience.
  • Having or working towards a CIPD certification is an advantage.
  • 1+ years’ experience as an HR coordinator or relevant human resources/office
administrative position.
  • Excellent written and verbal communication skills.
  • Excellent organizational and time management skills.
  • Knowledge of human resources processes and best practices.
  • Strong ability in using MS Office (MS Excel and MS PowerPoint, in particular).
  • Experience with HR databases and HRIS systems (e.g., BambooHR).
  • Ability to work with ATS software.
  • In-depth understanding of sourcing tools, like resume databases and online communities
  • Familiarity with social media recruiting.
  • Ability to handle data with confidentiality.
  • Willing and able to learn, understand, and grow with the business.
  • Team-oriented in a highly collaborative environment.
  • Able to execute tasks in a high-pressure environment.
  • Good problem-solving skills and the ability to multitask and work effectively
under changing priorities and time constraints.
