The Post


Working as part of a small team, the role of Administrative Assistant is to provide high quality and professional support to the University’s Research, Innovation and Business Engagement Directorate.

The postholder will provide a range of support for administrative tasks including mailbox monitoring, the creation and maintenance of a Directorate wide SharePoint, updating of Directorate guidance, supporting meetings, following financial procedures, and providing cover for administrative roles across the Directorate in the event of absences and annual leave.

The University operates under an agile working framework which enable staff to work for home when they are not required on a business location for their role. This role will be required to work flexibly across a mixture of Directorate spaces including on campus and at our Forth Valley College, Alloa there is also the option to work from home in line with the agile working framework.

Reporting to the Administration Manager, the Administrative Assistant will support them in co-ordinating the work of administrative staff across the Directorate, ensuring that resilience and consistent practice is achieved.


Description of Duties

  • To support the Administration Manager in the effective operation of all financial, human resource, health & safety, and other service administration across the Directorate
  • To support the creation and ongoing maintenance of the Directorate SharePoint
  • To assist in the purchasing, allocation and monitoring of Directorate IT equipment
  • To contribute to the ongoing development and improvement of administrative processes
  • To maintain and update administrative materials and resources relating to the work of the Directorate, including web-based information
  • To monitor the administration mailbox and respond effectively to enquiries from users of the Directorate’s services, with a focus on excellence in customer service
  • To undertake appropriate personal and professional development activities in order to deliver best practice
  • To undertake any other duties as may be required, in line with the grade and nature of the role, as directed by Administration Manager

Essential Criteria
  • Educated to HNC level or equivalent (where no formal qualifications are held, additional relevant experience is required)
  • Proven experience of working in a busy team/office
  • Experience of providing effective clerical and administrative support
  • Excellent customer service skills and a commitment to deliver a high-quality service
  • Advanced knowledge, understanding and competence using a variety of IT systems (including Microsoft Office 365)
  • Ability to work independently as well as part of a team
  • Excellent verbal and written communication skills
  • Ability to prioritise multiple tasks and meet deadlines with a ‘can do’ approach

Desirable Criteria
  • Experience of working in a higher education or similar environment
  • Experience of working with SharePoint
  • Knowledge of basic IT equipment
  • Experience of using electronic financial systems (such as Agresso)
