The role
The School of Geographical Sciences is look for an Administration Assistant for a 9 month appointment to provide cover for a secondment.
You will join a lively and friendly team of administrators who work closely together to deliver a wide range of key School activities. You will need to work independently and show initiative to react to changing situations.
The role will be based in the Geographical Sciences building but you may need to work in other parts of the University campus as required. The School has a flexible hybrid working with the possibility to complete some work from home.
What will you be doing?
The role holder will welcome staff, students and visitors to the school acting as first point of contact for the School and provide general office support for the day-to-day operation of the School.
Key duties include:
- Supporting school staff with queries in person, via the telephone and via email, ordering supplies, organising travel and raising Purchase Orders.
- Supporting school activities, for example, recruitment, induction, and office moves.
- Organising events, including staff seminars, by booking meeting rooms, ordering catering and advertising events internally or externally.
- Liaising with staff in other areas of the University to resolve queries e.g. maintenance.
- There will also be some manual work such as making deliveries and collections, and work involving moving furniture and clearing office waste resulting from office room moves.
You should apply if
- You have excellent organisational, communication and customer service skills and can complete tasks to a high level of accuracy.
- You are flexible and a good team player, as well as being able to work independently and show initiative.
- You can work in a busy environment, both multi-tasking and reacting quickly to changing circumstances, but also be proactive in improving processes.
- You have the ability to remain calm under pressure and to cope with continual interruptions and competing demands for attention.
- You are experienced in using a range of IT systems and are able to adapt to new systems and processes quickly.
