Job Summary:
Reporting to the Executive Assistant, the Administrative Assistant is an important role in the agency providing support to all members of the UIG team. The Administrative Assistant keeps the office running smoothly by executing daily tasks such as answering phones, mail distribution, and office supply management. The Administrative Assistant also supports the areas of Marketing, Service and Sales through a variety of tasks and projects such as event coordination, data entry, and direct mail assistance. The Administrative Assistant is on the front line of the agency, delivering exceptional customer service to our clients and helping UIG grow and develop. Professional Development is important to the agency and all staff members, including the Administrative Assistant, are encouraged to participate in on-going-education. Education is centered around increasing insurance knowledge and business acumen. Opportunity exists for the Administrative Assistant to move into a Customer Service Representative position in the future.
Responsibilities:
- Provide administrative support to ensure efficient operation of office.
- Answer phone calls, manage daily mail, schedule meetings and support visitors.
- Maintains supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies.
- Ensure operation of equipment by completing preventive maintenance requirements, calling for repairs, maintaining equipment inventories and evaluating new equipment and techniques.
- Assist with travel arrangements for senior and sales staff such as booking flights, cars, and hotel or restaurant reservations.
- Assist with event coordination such as organizing and shipping event materials.
- Support the team with data entry, printing, and large mailings.
- Participate in UIG's growth and development by attending agency meetings and following agency guidelines with a constant focus on quality and accuracy.
- Perform other duties and projects as assigned.
Education and Experience:
- High School degree or GED required.
- Experience in an administrative or customer service role, preferably in a labor or insurance related organization.
- Experience using technology and willingness to learn.
