Job description
We are seeking a detail-oriented and organised Administration Assistant to join our dynamic team and growing business. In this role, you will primarily be responsible for administering import declarations and aiding with accounts payable and your expertise will help ensure the smooth operations of our business.
Responsibilities:
Credit Control:
- Assist with maintaining accurate records of customer accounts and monitor credit limits.
- Issue reminders to customers regarding outstanding payments and overdue balances.
- Communicate with customers to resolve payment discrepancies and manage overdue accounts.
Administering Import Declarations:
- Collaborate with suppliers, freight forwarders, and customs agents to facilitate the import process.
- Ensure timely submission of import documentation, including import declarations, customs invoices, and shipping documents.
- Monitor customs regulations and stay updated on any changes that may impact import procedures.
- Track and reconcile imported goods against invoices and purchase orders.
- Resolve any import-related issues, such as customs delays or incorrect documentation.
Financial Administration:
- Assist with general financial administration tasks, including data entry, invoice processing, price listing and expense reconciliation.
- Maintain accurate and up-to-date financial records in compliance with our policies and relevant regulations.
- Assist in preparing reports as required.
- Support the team with ad hoc tasks and projects as assigned.
Qualifications and Skills:
- Previous experience in finance administration, credit control, or import/export operations is preferred.
- Strong organisational skills with excellent attention to detail.
- Proficient in using Microsoft Office suite, particularly Excel.
- Familiarity with import procedures, customs regulations, and relevant documentation is a plus.
- Good communication and negotiation skills for interacting with customers and suppliers
- Ability to work independently, prioritise tasks, and meet deadlines.
- Basic understanding of financial processes.
Job Types: Part-time, Permanent
Part-time hours: 8 per week
Salary: £11.00-£15.00 per hour
