We require a super dynamic, energetic and proactive office administrator to join our fast-expanding business. An exciting and unique opportunity with great progression prospects for the right person. You will have a wide range of duties where you will be able to really get involved in all aspects of the business in a fast-paced environment. This is a newly created position due to company expansion giving great scope for the right person to make their own mark.
Duties include:
- Reporting directly to the Director, managing staff and sub-contractor network.
- Booking transport and placing supplier orders.
- Dealing with new sales enquiries and managing existing orders
- Dealing with customer correspondence, complaints and queries.
- Assisting in the sales process
- Preparing letters and reports
- Supervising and monitoring the work of administrative staff
- Overseeing office budgets and discussing these with directors
- Liaising with staff, suppliers and customers in arranging key dates
- Develop, implement and oversee new administrative systems, such as record management , HR policy, Filing etc
- Managing Company policies and procedures, ensuring that updates are adequately communicated
- Using a range of software packages including email, spreadsheets and databases to ensure the efficient running of the office
- Attending meetings with management
- Assisting the organisation's HR function by introducing and overseeing company employment processes and procedures.
- Ensure adequate staff levels to cover for absences and peaks in workload
- Check that data protection laws are being adhered to in relation to the storage of data, and review and update policies
- Reception duties, including answering incoming calls and scheduling appointments
- Follows up on phone calls and contacts as appropriate
- Files and archive accurate records
- Oversees the administration of new resident accounts and contracts
- Organise and audits the company's systems, databases, and procedures
- Prepare regular monthly reports for the directors
- Provide administrative support for the directors as needed
Skills
- Supporting the Director with diary scheduling, inbox management, ensuring the smooth running of business activities
- Taking dictated emails over the phone, discussing key action points
- Ensuring project deadlines are met, updating the Director with issues, liaising with the wider team
- Document production, proof-reading contracts, ensuring business compliance
- Liaising with staff, customers, third parties, suppliers as well as team members on a daily basis
- Assisting with marketing events
- Assisting the Office Manager with HR duties, including recruitment
- General office administration, including welcoming guests to the office
- A background in office administration, including diary management, with excellent IT skills and commercially astute
- Ability to organise others, with first-class organisational skills, ability to multi-task
- Excellent communication skills, high attention to detail

Salary: £21,906.00-£22,800.00 per year
