The Job
We're looking for a full-time office coordinator to work in our San Francisco office in Union Square! This is a hybrid role with flexibility. Some days there are two people in the office, some days there are 15 and a board meeting. We need an office coordinator that is able to do a wide array of work—from regular day to day operations of stocking the fridge, to organizing outings for team members visiting from Belgrade. This is a dynamic role that can expose you to a lot of parts of the company and where you will be encouraged to raise your hand if a project interests you.


Responsibilities

  • Project manage and improve office functionality. Facilitate and collaborate with key staff to update the office space to ensure functional efficiency.
  • Create a welcoming visitor experience, be aware of visitor schedule, greet and set-up visitor meetings
  • Manage and support overall needs in the range of communication with building management, maintenance, coordination of inspections, technical support, ordering supplies, caring for plants, tidying of space, and tenant notifications that involve employees.
  • Keep up to date with budget reporting & invoice management for office purchases.
  • Oversee and improve upon asset and inventory management systems: keys, equipment on loan, office supplies, and IT hardware management and inventory
  • Stock office supplies/keep supplies ordered as needed
  • Handle snacks and ensure office is stocked, order breakfast and lunch/managing catering as our office grows
  • Manage deliveries from UPS, USPS, and FedEx
  • Manage US travel coordination for internal employees, create activity agendas and coordinate in office meals for duration of visits.
  • Handle logistics for US events including internal off sites and external conferences

  • Ability to be detail-oriented in a fast-paced and ever changing environment
  • Able to create, maintain and document schedules, calendars, policies, procedures and systems
  • Experience with Zoom & Zoom Rooms
