Job description

We are looking for an Administrative Assistant to cover a 9 -12 month maternity leave, with potential for development into a permanent role at the end of the cover.

Sustainable Energy Ltd, a leading independent UK engineering consultancy focusing on district heat networks, is seeking a skilled administrative specialist to bolster and grow our thriving decarbonisation and decentralised energy division.

Located in the heart of Cardiff, we have been at the forefront of innovative renewable energy projects for clients since 1998. Our team of independent district heating and decentralised energy experts has provided advisory services for the development of numerous high-profile UK heat networks, large-scale renewable energy facilities and infrastructure, making a significant contribution to decarbonisation. Job Overview

In this role, you will contribute to numerous renewable and low-carbon district energy projects across the UK. Your efforts will be crucial to the feasibility, in-depth design, and management of projects.

Responsibilities

As an administrative specialist, you will support a dynamic and growing team of energy consultants, handling various administrative tasks throughout the project lifecycle.

Your duties will encompass, but not be limited to:

  • Assisting project managers in composing and organizing reports and procedural documents
  • Proofreading and reviewing reports and documentation for accuracy
  • Participating in data collection and research activities
  • Overseeing document and report management
  • Coordinating and managing team meetings
  • Recording and distributing minutes and technical notes from project and client meetings
  • Employing time management skills to help the team meet project deadlines
  • Monitoring tasks to ensure timely completion
  • Assisting the team in managing project budgets and schedules
  • Communicating with clients on behalf of project managers when necessary to gather data and information
  • Supporting the team in preparing tenders for new business opportunities

Key Qualifications:

Essential qualifications for this role include:

  • Proficiency in MS Office suite, particularly advanced Excel skills and solid IT knowledge
  • Excellent written communication and interpersonal abilities
  • Prior experience in an administrative or project support role

Desirable qualifications for this role include:

  • Experience working in an engineering or technical environment, producing or reviewing technical reports, and conducting research and data collection
  • Familiarity with bid or grant writing
  • A vocational engineering or technical certification
  • Interest in contributing to the UK's energy system decarbonisation and active participation in climate change mitigation
  • Proficiency in CAD software
  • Experience using Microsoft products, such as Project and PowerPoint

Occasional work outside normal office hours and travel to client sites throughout the UK may be required.
