Reporting to the Finance Director, this key role will provide administrative Finance support in the handling and distribution of information and in data entry. Working closely with the Finance team as well as other departments, this role requires the ability to work independently and as a member of a team. Knowledge and experience within a Finance function would be a bonus.We are looking for an expert administrator and coordinator who is able to balance conflicting priorities and who has excellent interpersonal and communication skills. Key responsibilities
Due to the nature of this role, the work would need to be done from our Manzil Way Office.
More specifically, the job entails
- Sage Input- Preparation and input of suppliers invoices and initiate payments using Sage accounts.
- Stationery - To provide cover to maintain, order and distribute stationery supplies.
- Procurement:To receive and place orders, invoice the wards and input into Sage and maintain credit control.
- Phone: Receiving incoming calls, taking messages and transferring calls as appropriate.
- Shop takings- To assist the Senior administrator in the processing of shop and café takings.
- Petty Cash- To cover the provision of petty cash and Issuing of staff and members expenses in the Senior Administrators absence.
- Banking- Occasional visits to the bank for cashing cheques and paying in.
- Provisions- Buying small items from local shops and ordering provisions on line.
- Filing- Helping to maintain the accuracy of various information files i.e. Invoices, Journals etc.
- Room Bookings- To cover the room bookings in the Senior Administrators absence.
- Volunteers- To oversee and mentor Reception and Admin volunteers in conjunction with the rest of Support Services Staff
- Reception Duties- Dealing with visitors to Manzil Way and liaising with staff to resolve visitor’s questions etc. To distribute post, photocopy and collate documents as requested.
- General Assistance- Helping other staff members with administrational jobs including database entry and other ad hoc duties as required.

Person Specification
Essential Requirements
- Good interpersonal and telephonic skills and able to deal effectively, cheerfully and empathetically with clients and the public both face to face and on the telephone
- Intermediate knowledge of Google docs and Microsoft packages
- Numerate with an eye for detail
- Well organised and ability to work to deadlines
- Flexible approach to working with a variety of tasks
- A creative approach to problem solving.
- A reliable time keeper.
- A self-starter who can work both independently and collaboratively.
- Willingness to develop and learn new skills
- Knowledge of Sage accounts or any other similar systems
Desirable Requirements
- Knowledge of mental health issues.
- Experience of working in the voluntary sector.
- Experience of Sage accounting software.
