Responsibilities:
- Assist the Branch Manager/Assistant Branch Manager with the preparation of all Hires that are sent through to the branch, including printing pre-delivery information and raising hire documentation paperwork where required
- Assist the Branch Manager/Assistant Branch Manager with the monitoring of a Branch Task List on in-house computer system, including vehicle bookings/cancellations, delivery/collection requests and pre-delivery information
- Assist the Branch Manager/Assistant Manager with sending digital delivery/collection appraisals to the drivers using the in-house computer system
- Assist with the monitoring of start/end and change of vehicles hires on the in-house computer system and manually starting/ending a hire if there are any issues found
- Recording and checking vehicle information at start/end of hires to ensure it is correct/accurate and any issues are reported to the Branch Manager (servicing and maintenance, vehicle extras etc.)
- Checking and confirming that driver paperwork has been received after each delivery/collection and is correct, raising any concerns to the Branch Manager
· Accessing and Adding notes to customer R Files on the in-house computer system
· Checking and inputting driver hours, agency driver hours onto in-house computer system on a daily basis
· Document scanning and logging documents onto the in-house computer system
· Ensure all mail is posted to Head Office on a Weekly Basis, including logging any hire documents received and emailing details to the Recoveries Team
· Assisting the Branch Manager/Assistant Branch Manager with the completion of a daily Vehicles on Site Report
· Providing Switchboard Provision to ensure all calls are answered quickly and dealt with accuracy and efficiency
· Assisting with the PCN process
· Communicating with other branches in relation to sundry orders
· Communicating with local garages used to ensure our vehicles are completed in a swift and effective manner to ensure maximum possible vehicle utilisation
· Marking up and keeping references of the HDR’s
· Assist garage staff if needed
· Driver tablet maintenance
Assists further with the day-to-day running of the branch if a manager is off sick
· General branch administration duties e.g., ensuring driver timesheets are put away, monitoring X hire vehicle paperwork
· Ad-hoc duties as agreed with Branch Manager as and when required
· Monitor branch network check cloud usage.
· Maintain branch cleanliness
· Assist the branch staff with checking in new fleet vehicles and uploading images and measurements onto proclaim, and update current fleet measurements and vehicle details
· Assist staff with the preparation on de fleeting vehicles
Requirements:
· Basic Administration Skills
· Basic Information Technology Skills (including Microsoft Office – Word, Excel and Access)
