Job role: Administrative Assistant
Salary: £23,739 per annum
Location: Underley Garden, Kirkby Lonsdale, LA6 2DZ
Hours: 37.5 hours per week; Monday - Friday 9am - 5pm
Contract: Permanent

About the role
Our school seeks an enthusiastic individual to take on the role of Administrative Assistant. The successful individual will provide a customer focused and comprehensive administrative support service to Managers and Employees
About the School
Underley Garden is a large site which hosts a large school provision and a residential children’s home across several buildings. All children who attend the school and live within the home have EHCP’s due to their special educational needs.
Underley meets the needs of a range of SEN including Autism, Learning Difficulties, Mental Health & Medical needs and related behavioural difficulties.
For over 16 years Options Autism have provided care and education to children, young people and adults with autism, complex needs and learning difficulties. As part of Outcomes First Group, we are leading our sector in setting and delivering new approaches that provide measurable outcomes for those in our care.
Main Duties
Work within the team to:
- Provide efficient and effective administrative support
- Take on specific tasks related to the day to day administration and organisation of Underley Garden
- Contribute with commitment to improve standards and outcomes from all children and young people
- Answer, handle and direct internal and external telephone calls and direct messages for staff and young people as appropriate
- Resolve administrative problems and enquiries
- Arrange travel and accommodation
- Record, compile, transcribe and distribute minutes of meetings
- Collate, record and monitor staff absence, both short term and long term
- Manage and update Cascade with absence and probation
- Organise and minute formal absence meetings
- Welfare calls to staff
- Support Education and Care Managers with HR interface between UGS and payroll in respect to absence, sickness and holidays
- Support Education and Care Managers with the interview process
- Assist with the administration of safer-recruitment and pre-employment checks
- Record accident forms and RIDDOR
- Prepare letters and paperwork as instructed by the Office Manager or SLT
- Create ID badges for all staff and issue keys
- Record keeping in respect to compliancy and general administration tasks as instructed by the Office Manager or SLT
- Order stationery, consumables and other supplies
- Organise and complete yearly audits
- Ensure all confidential information is filed or archived correctly in line with policy
- Assist to maintain the archive records
- Raise and create purchase orders on procurement system
- General office duties – word processing, filing, binding, photocopying, scanning etc.
