Oakwood School is seeking an Office Assistant for our Main Office. This is a full-time, year-round position with expected work hours of 7:30am - 4:00pm, Monday through Friday plus occasional special events outside these hours.
SUMMARY
The Office Assistant for the Main Office is responsible for providing administrative and clerical support for the efficient operation of the office in support of students, faculty, and staff. As the primary backup to the Receptionist, this person also plays an essential role in creating a welcoming environment and promoting Oakwood’s culture of kindness to everyone in the Oakwood community including students, parents, visitors, and staff. This position is also the main support person for preschool through 8th grade student records.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Provide clerical, administrative, and record keeping support with the highest level of customer service including answering phones, emailing, data entry, sorting and delivering mail, filing, printing, copying, scanning, greeting parents, students, and visitors
- Backup front desk and first aid coverage
- Maintain student information systems and student files, including student cumulative record files, immunization, and health records
- Digital and physical records archiving, filing, and organization
- Support established emergency procedures and preparedness operations
- Support Business Office operations with credit card receipt processing, monthly billing preparation, and other clerical tasks.
- Support for field trips, school events, and other all-school and division activities
- Maintain front office copy room and kitchen tidiness and supplies
- Work as part of a team and support the philosophy, policies, and goals of the school
QUALIFICATIONS
- High school diploma or equivalent
- Able to complete tasks with accuracy and high attention to detail
- Experience working in an administrative or clerical position
- Knowledge of and comfortable with learning and using technology and office equipment
- Excellent communication skills, both written and verbal
- Ethical and discreet team player
- Strong organizational skills and ability to self-direct, prioritize, and flexibility to multi-task among competing goals
- Able to establish and maintain positive, effective working relationships
- Outstanding interpersonal skills with a strong customer service focus
- Ability to manage moderate levels of stress and frequent interruptions
- Successfully pass a background screening
- Knowledge or experience of working in a school setting is highly desirable
PHYSICAL REQUIREMENTS & ENVIRONMENTAL CONDITIONS
- Ability to stand, walk, stoop, kneel, crouch, and manipulate (lift, carry, move) light to medium weights of 10-30 pounds
- Ability to perform repetitive wrist/hand/finger movement to work on computer and/or related office equipment.
- Ability to work at a desk/computer for extended periods of time
- Frequently required to sit, reach with hands and arms, talk and hear
- Ordinary ambulatory skills sufficient to visit other locations on campus
- Normal office environment and moderate to loud noise levels
- Occasional to frequent interruptions
COMPENSATION
This position has an expected salary range of $45,000-$60,000 per year.
