Our Administrative Assistant will be partnering with our Executive Director on daily tasks that can range from Human Resources to Inside Sales. We are looking for a highly motivated team member to join our team that is responsible, detailed oriented, and self-motivated. Ultimately, a successful Administrative Assistant should ensure the efficient and smooth day-to-day operation of our office.
Responsibilities
- Answer and direct phone calls as well as greet visitors.
- Schedule appointments and maintain calendars, including staff and other meetings
- Assist with inside sales documents on our purchases and sales.
- Assist the executive team with projects.
- Assist with online banking and online bank deposits.
- Create and maintain filing systems, both electronic and physical.
- Prepare communications, such as memos, emails, invoices, reports and other correspondences.
- Maintain business and personnel records in a confidential manner.
- Manage vendors, clients, and employees in a professional and motivational manner.
- Assist with small to medium size projects.
- Assist with maintenance of company’s social media accounts.
- Order and maintain office supplies, research new deals and suppliers.
Skills
- Be a team player with a can-do attitude
- Ability to learn and apply new concepts quickly.
- Excellent time management skills and the ability to prioritize work.
- Strong organizational skills with the ability to multi-task
- Proficiency in MS Office (MS Excel, MS Word and MS Power Point, in particular).
- Working knowledge of office equipment, like printers and/ or fax machines.
- Ability to handle sensitive and confidential information with discretion.
- You must be a very proactive, solution-based thinker with the “Whatever It Takes” outlook
- You must have your own means of transportation.
