Job description
Business Administrative Assistant
Working in between Production Control, Quality and Technical Department, the Administrative Assistant will offer administrative support to the whole of the business. The Administrative Assistant role is critical to the smooth running of the business.
Vacancy description
An outline of duties will include the following but is not exhaustive:
- First point of call for incoming telephone calls – Telephone to be answered in 2 rings in a professional manner. Call to be forwarded to the relevant person within the company or a message is to be taken and sent by email if the person is not available. Need to have caller name and company info plus the number if needed
- Incoming/Outgoing Post - Distribute incoming post – fold and send out post
- Sales order progressing – Up-to-date record of jobs to be actioned. Notes to be updated in ERP
- Data Entry and booking of Production Sheets.
- Assisting with monitoring Department Performance.
- Liaising with Purchasing.
- Acknowledgements to Customer - After progressing send acknowledgements to the customer
- Filing – Jobs/POs/copy invoices/deliveries
- Hospitality– Company diary to be checked on a daily basis ie. board meetings etc for special requirements. Visitor badges to be always supplied at the front desk. Visitors must sign in at all times

The Administrative Assistant role is critical to the smooth running of the administrative functions and therefore the person fulfilling this role should have the following qualities:

- You must be customer focused, with a proactive approach to day-to-day work as well as being able to maintain effective relationships with current customers
- Experience in all Microsoft Word, Powerpoint, Excel and Outlook is essential
- You must be a team player, and be able to contribute towards team goals, equally you must be able to demonstrate the ability to work under own initiative at times
Working Schedule
- Standard hours: 39h.
- Monday - Thursday: 7:00 to 16:00 , Friday 7:00 to 12:00
