Job description
- Orders PCs, laptops, and peripherals in accordance with corporate standards; Inventories, orders, and maintains office supplies
- Drafting correspondence, calendaring meetings, making copies, directing inquiries to the proper party within the team
- Gathers and compiles information as requested
- Maintains departmental, personnel, and financial records; Report vacation and sick time; Maintains up-to-date organization charts
- Greets visitors and answers telephone; Takes messages and replies to questions in accordance with general instructions
- Coordinate and communicate daily with manager to ensure he/she is kept up-to-date on daily operational issues
- Provide guidance to employees/reports regarding the preparation of administrative-type reports and documents
- Schedules meetings and arranges appointments;
- Orders Stationary & small capital purchases
- Visa applications (in person visit to consulate as required)
- Makes Travel arrangements as requested
- Attendance updates - holidays, jury duty etc.
- Organisation of meetings for visitors (NCR & non-NCR)
- Room meeting re-shuffling and re-configurations
- Refreshments for Meetings (for Partner meetings/visits etc)
- Organize Training (meeting rooms, dates, resources, staff etc)
- Organises Staff availability, sync and co-ordination for meetings, events, all-hands, LT visits
- Internal co-ordination of resources for events
- Inter-department housekeeping tasks - consistency
- Providing back up assistance to other administrative support team members as needed and collaborate with other executive administrators to provide coverage during PTO
- Ability to work independently and deal with confidential materials in an appropriate manner
- Diplomacy, reliability, dependability and patience to support this highly diverse group of business professionals
- Ability to deal with clients in a professional and courteous manner, and to develop and leverage professional working relationships both internally and externally
