MSG Ltd., provide planned and reactive maintenance for Birtenshaw sites across Bolton and Merseyside.
We are looking to recruit a part time Administrative Assistant to provide direct administrative and clerical support. The successful candidate will be based in Bromley Cross, Bolton. Hours of work will be Monday to Friday, three hours per day in the morning (flexible). The successful applicant will need to be DBS checked.
Key Tasks
- Monitor incoming maintenance jobs, using an internal reporting system, keeping notes up to date and keeping on top of any deadlines. Prioritise and allocate work to maintenance personnel
- Oversee and co-ordinate schedules of work, both planned and reactive
- Liaise with suppliers/contractors/Birtenshaw staff via e-mail and telephone
- Order supplies where necessary
- To check the email system, multiple email accounts
- Keep accurate spreadsheet records for annual leave, sickness, overtime, out of hours work, mileage claims etc., Collate timesheets and produce a monthly report for the MD.
- All Maintenance and Health and Safety administration
- To assist in maintaining an accurate and up-to-date inventory of all the company’s resources
- To maintain confidentiality at all times
- To inform the Company Director if additional items / equipment / facilities are required to promote the service
