Job Description – Office Assistant of Malden Golf Club
Reports to: Finance and Administration Manager
We are looking for an enthusiastic individual to join our lively office team here at Malden Golf Club. You will work closely with the Club Manager, Finance and Administration Manager and Head Chef as part of an integrated support service for the club and its members. They engage with members and visitors, provide a point of contact for all visitors to the club and undertake a range of promotional and administrative tasks, including:
Membership Database Management
· To deal with members enquiries in a friendly and professional manner and to ensure the highest level of member enjoyment and satisfaction
· Co-ordinate onboarding of new members such as arranging interviews, producing new memberships packs;
· Maintain & manage waiting lists for Full Membership, lockers, trolley space, etc.
· Manage feedback from members, collating and distributing to relevant functions/individuals;
· Answer MGC phone lines and general email traffic;
· Arrange for trophy engraving and honours board inscriptions, including storage of trophies;
Club Diary/Events Management
· Maintain the online club calendar of golf, social and other events to ensure club staff are aware of upcoming events and optimise member communication based on the calendar;
· Golf society enquiry handing / liaising with Society and bookings;
· Event (non-golf) enquiry handling liaising with Event organiser and Bar and Catering manager;
· Find & book entertainment as required for events & functions;
· Undertake ad hoc administration tasks as directed by the Club Manager.
· Plan and organise multiple events around the calendar to support club functions;
Person Specification
· One to two years administration experience desirable
· Excellent interpersonal skills with a positive, friendly, and professional manner
· Quickly builds rapport/credibility with colleagues/members
· Able to work to deadlines and calm under pressure
· Microsoft Office suite experience
· Database management experience
· Attention to detail whilst undertaking duties
· Initiative! Along with the ability to see a job through to its conclusion
30-35 hours per week – Flexible hours offered (core office hours 10:00am-2:30pm)
Monday to Friday – with occasional requirement to work at weekends (time off in lieu)
Job Types: Full-time, Permanent
Salary: £24,000.00-£27,000.00 per year
