Introduction
The Parliamentary Security Department (PSD) is responsible for physical and personnel security across both Houses of Parliament and provides support to Members and staff when away from the Estate. Its purpose is to keep Parliament safe and open for business.
PSD sets Parliament’s security strategy, provides expert advice, and delivers an operational service. It does this in partnership with the Metropolitan Police Service and by working closely with the In-House Services and Estates team, the Serjeant at Arms and Black Rod’s Office, the Restoration & Renewal programme, the Parliamentary Digital Service, and other key stakeholders.
The Role
The Security Vetting and Pass Administrator role is key in supporting the work of the vetting team to ensure that pass and vetting applications are processed and passes issued in a manner that is smooth, accurate, and puts personnel security at its heart whilst always upholding excellent customer service standards.
This is a busy team of 30 people, working under pressure, processing many thousands of applications a year; the work is fast paced, highly detailed and complex. The successful candidate will be a fast learner with exceptional attention to detail who is able to balance speed and accuracy and has good IT skills in particular Excel.
We are currently going through a digitisation programme so you will need to be comfortable adapting to a rapidly developing systems which affect every day processes and procedures within the office. You must be able to work well as part of a team, interacting with colleagues to ensure a professional service is delivered, as well as being capable of working independently on assigned tasks. This role would suit someone who has excellent attention to detail and wishes to develop their administration skills.
Some of the responsibilities for this role include:
- Opening and processing post, including personal ID documentation. Being responsible for the safe handling of this documentation.
- Running of regular data reports and sending these to stakeholders.
- Liaising with stakeholders about pass related matters, logging conversations and then actioning outcomes appropriately.
- Manipulating Excel spreadsheets to create task lists.
- Uploading documents in the vetting system.
Skills and Experience
To be successful in this role you will demonstrate:
- Experience of working with diverse groups of people, upholding the principles of diversity, equality and inclusion, ensuring that everyone is, at all times, treated with dignity, courtesy and respect.
- Experience working in a fast-paced environment with the ability to complete tasks whilst balancing accuracy and speed. Detailed orientated with excellent attention to detail and the ability to spot and deal with issues autonomously.
- Confident using IT systems and Excel, with an ability to concentrate on a detailed task for a period of time. Excellent organizational skills with the ability to coordinate and manage your own workload.
- Excellent interpersonal and customer service skills
- Communicates clearly, concisely and effectively both orally and in writing.
